Executive Assistant Position Description
(Full-time – 40 hr/week)
Position Summary
Based at the Corporate Headquarters of a family-run and controlled private investment firm, the Executive Assistant will provide a full range of integrated executive administrative support services for the company’s Managing Partners. Responsibilities will be varied in scope and include handling routine correspondence, coordinating Partner calendars and meeting/event schedules and coordinating headquarters office administration activities.
Position Description
Support to Managing Partners
- Serve as a primary point of contact for both internal and external constituents for interactions with the Partners.
- As required, compose, draft, edit and prepare correspondence such as letters, emails, memos, etc.
- Schedule and prepare documents for meetings, to include agendas, slide decks, handouts, meeting notes, etc.
- Maintain and resolve any conflicts involving Partner calendars and event schedules.; as necessary, ensure that Partners are kept aware of upcoming commitments and related obligations.
- As needed, handle matters related to the Partner’s family business that may include their community activities and be of a sensitive or confidential nature.
Office Administration
- Manage office mail distribution and the procurement of all HQ office equipment, furniture and kitchen supplies.
- Manage the catering/food procurement activities for all company meetings and events.
- Manage the drafting/distribution of all annual reports for Tuckahoe and its portfolio operating companies.
- Provide occasional administrative support to HQ function head staff and on special projects as needed.
Qualifications
Education, Experience & Skill Requirements
- Ten (10) or more years of experience supporting senior level executives (VP, CFO, COO, President, CEO).
- Mastery of Microsoft Office products including Outlook, Project, Word, Excel, PowerPoint, etc. and proficiency in the use of social media websites and applications.
- Ability to work independently on projects from conception to completion, exercise intelligent judgment with little supervision and handle confidential matters with a high degree of discretion.
- Strong organizational skills that reflect the ability to prioritize and execute multiple tasks in a fast-paced work environment.
- Strong interpersonal skills and the ability to build and maintain relationships with senior leadership, internal associates and external constituencies.
Supervisory Responsibilities
- No Direct Reports.
Physical Demands
- While performing the duties of this job, the employee is frequently required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to handle; or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds.
Work Environment
- The majority of incumbent’s time will be spent in an office environment.
