Location: Plymouth, MN - Onsite
Schedule: Monday - Friday, Standard Business Hours
Key Responsibilities:
Administrative & Office Operations:
- Manage office maintenance requests, ensuring a clean, safe, and functional workspace.
- Provide notary services for legal and business documents.
- Oversee office and kitchen supply inventory, ordering as needed.
- Assist with check signing and processing to ensure accuracy and compliance.
- Handle UPS shipping and receiving, tracking packages, and distributing mail.
- Manage office security, including keycards, visitor logs, and coordination with building security.
Reception & Communication:
- Greet and assist visitors, managing guest sign-ins and inquiries.
- Answer and direct phone calls professionally.
- Provide RingCentral phone system support, including call routing and voicemail setup.
IT & Equipment Management:
- Provide basic IT support, including troubleshooting minor technical issues.
- Oversee office equipment maintenance, scheduling service requests for printers and other devices.
- Coordinate with third-party IT support for system updates and technical assistance.
Administrative Support:
- Assist teams with document preparation, scheduling, and general administrative duties.
- Provide cross-functional support to ensure smooth office operations.
Requirements:
- High School Diploma or equivalent required.
- Prior experience in office management, administrative support, or a related role.
- Notary Public certification (or willingness to obtain).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with RingCentral is a plus.
- Basic understanding of IT troubleshooting and office equipment maintenance.
