POSITION SUMMARY
The Administrative Support Staff will be responsible for maintaining accurate financial records and ensuring compliance with financial regulations and organizational policies. The role is integral to the financial health of the organization. The Administrative Support Staff will manage day-to-day financial transactions, prepare financial reports, and assist with budgeting and audits, ensuring that the organization's finances are managed with integrity and transparency.ESSENTIAL FUNCTIONSFinancial Record Keeping:
Maintain accurate and up-to-date records of all financial transactions, including income, expenses, and accounts receivable/payable.
Reconcile bank statements and credit card statements.
Accounts Payable and Receivable:
Process invoices, expense reports, and vendor payments.
Issue invoices and manage the collection of outstanding receivables.
Support for Fundraising and Grant Management:
Assist with tracking and reporting on financial aspects of grants and fundraising activities.
Assist with the preparation of financial reports for grant applications and funding proposals.
Administrative Support:
Provide general administrative support, including answering phones, managing emails, and scheduling meetings.
Assist with document management, including filing, scanning, and organizing both digital and physical records.
Human Resource Support:
Assist with recruitment processes, including scheduling interviews.
Support technology/device and records management, including preparation of paperwork and maintaining employee personnel files.
QUALIFICATIONS
Education: Associate’s degree in Accounting, Finance, Human Resources, Business, or related field; Bachelor’s degree preferred.
Experience: Minimum of 2 years of bookkeeping and administrative support experience, preferably in a non-profit or human services environment.
Technical Skills: Proficiency in accounting software (e.g., QuickBooks), Microsoft Office Suite (especially Excel) and Google Suite.
Knowledge: Understanding of non-profit accounting principles and financial regulations.
Attention to Detail: Ability to juggle multiple tasks and priorities while maintaining a strong attention to detail and accuracy in financial record-keeping and reporting.
Communication: Excellent written and verbal communication skills.
Integrity: High ethical standards and commitment to confidentiality.

PHYSICAL DEMANDS
Ability to sit for extended periods and work at a computer.
Occasionally required to lift and carry files and documents.
WORKING CONDITIONS
This position takes place in an office environment which is well-lit and climate-controlled.
May require occasional travel for training or meetings.
