What are the responsibilities and job description for the Executive Assistant position at Ultimate Staffing?
Job Duties/Description:
- Schedule and confirm client meetings for the financial advisor
- Manage and update the advisor's calendar to ensure efficient workflow
- Follow up with clients regarding appointments, required documents, and inquiries
- Plan, organize, and manage financial seminars and webinars
- Handle event logistics, including venue booking, attendee registration, and follow-ups
- Ensure all materials and presentations are prepared in advance
- Assist in the preparation and processing of financial documents and client paperwork
- Ensure all compliance and regulatory requirements are met
- Maintain and organize client files, records, and office documents
- Oversee office supplies, equipment, and general office maintenance
- Act as the first point of contact for clients, providing excellent customer service
- Support the financial advisor with administrative tasks as needed
Requirements:
- 3 years of previous experience in a similar role
- Must be strong at anticipating needs, very detail oriented, and able to work with an entrepreneurial type mind.
- Previous experience in office management, administrative support, or financial services preferred
- Strong organizational skills with the ability to multitask and prioritize
- Excellent communication skills (both verbal and written)
- Attention to detail and ability to handle sensitive client information with discretion
Additional Info:
- Pay range: $25-30/hr. depending on experience
- Schedule: 8:30am-5:00pm, Monday - Friday
- Location: 100% onsite, Minnetonka
- Type: Temp - with the possibility of turning permanent
