Shipping-Inventory Representative

Overview

The purpose of this role is to accurately handle and maintain shipment and inventory transactions in accordance with Ultimate’s Quality System policies and procedures.  Shipping is an extension of the Customer Service Department and must work to ensure orders are processed on time to meet or exceed department goals and customer expectations.  Product must be packaged for shipment in a way that preserves product quality and company image.

Essential Duties and Responsibilities:

Shipping

• Responsible for shipping customer orders with the goal of meeting or exceeding customer  delivery expectations, ensuring company, ship to location and shipping method are in accordance with Pack List instructions.
• Assist in maintaining and organizing shipping supplies.
• Responsible to maintain and use multiple shipping systems and methods, this includes address book maintenance with each shipping system (UPS, Fed Ex, AES, etc.).

  • Creation of internal work orders,
  • Administering daily finished good cycle counts,
  • Use of the BTS System, part tracking and trace,
  • Use of reports and systems to effectively control work flow,
  • Use of AES Export System.
• Filling customer orders according to standard operating procedures (work instructions) with the goal of shipping orders as complete as possible.
• Responsible for tracking daily shipping report to make sure orders are being issued correctly and to be able to locate orders that are to be shipped that day.
• Assist with the preparation and processing of international shipments, including filing of all paperwork with proper international agencies and making sure correct documentation is included with export shipments.

Inventory Control

• Arranging finished products using LIFO or FIFO methodology.
• Ability to analyze and solve problems.
• Ability to receive, stock, and/or deliver goods.
• Assist with inventory cycle or physical counts; ensuring inventory levels are accurate making necessary and timely adjustments. Ability to reconcile stock counts to report data. 
• Assists with maintaining current inventory levels by processing work orders and purchase orders as required; tracks orders and investigates problems.  Correspond with Suppliers as needed.
• Supports inventory operations by receiving incoming material, counting and inventorying items, and receiving and checking the contents of packages against packing lists.
• Assist with printing, organizing and managing Pack List for order pulling and packaging.
• Pull bulk product from inventory to fill customer orders; deliver the bulk product and Pack List to the Packaging Dept. for repackaging and labeling as necessary.
• Review customer orders/backorders to determine where incoming production and inventory may be applied.
• Receive material in using Visual system and document on any work order paperwork.  Restock inventory with product from manufacturing.
