Primary Purpose of Position
The HRL Facilities Admin Support Associate is an administrative position with the primary responsibility of oversight of the HRL Facilities Front Desk operations, including the desk staff, monitoring the hrlfacilities email account, “work control”processes (inputting work orders into TMA and Archibus), phone calls from internal and external customers, and walk-ins. This position also sends standard format emails to residential buildings and students to notify them of planned work.
The HRL Facilities Admin Support Associate also assists the Assistant Director for Conferences and Associate Director for Guest Operations with the conference and intern housing processes, including data entry and contacting students, staff, faculty, and guests.

Minimum Education/Experience
Required Minimum Qualifications:
Graduation from high school; or an equivalent combination of education and experience.
University Preferred Qualifications:
Graduation from high school, or completion of its equivalency, and two years of office/clerical work experience; or an equivalent combination of training/experience.

Essential Job Duties
- Receive visitors and callers in the HRL Facilities Services Office in a welcoming and engaging manner.
- Provide factual information to customers about how to submit a maintenance request, current facility work, and where to find additional resources.
- Oversee the student employees assisting at the desk and in the office.
- Inputting maintenance requests into the TMA work order system, following up with staff on work orders that haven’t been closed on a regular basis.
- Respond to or triage all incoming emails to the departmental email account and send emails to residents as needed for emergency facility work or preventive maintenance activities.
- Input conference and intern housing guest information into the appropriate systems.
- Email potential conference and intern housing guests to provide necessary information.
Other Work Responsibilities
- Use interpersonal skills to calm demanding customers.
- Triage and connect customers to appropriate campus resources to resolve problems. Assist the Assistant Director for Conferences with any additional needs they have.
Departmental Preferred Experience, Skills, Training/Education
- Graduation from high school and at least three years of experience in an office environment.
- Experience working in a Housing and Residence Life department in an institution of higher education.
- Experience working with students in an institution of higher education.
- Demonstrated ability to efficiently handle multiple phone lines and walk-in customers in a busy office.
- Experience using Microsoft Office Suite and Google Workspace programs.
- Superior customer service skills and conflict management skills.
- Excellent verbal and written communication skills.
