Transportation Dispatcher (Remote) (overnights)

We are seeking an Administrative Assistant Transportation to join our team! This position is Remote overnights.

You will perform clerical and administrative functions in order to drive company success.

Job title: Administrative Assistant (Transportation)

Classification: Exempt, O/T Ineligible

Salary range: $45,000, commensurate with experience

Reports to: Transportation Director

Responsibilities: -

You are expected to begin your shift from M-F 9pm to 6am.

- Request/ Follow up on updates on the trucks of previous days loaded, and day of loading.

- 2 Excel Updates sheets from (West & East Coast) are expected to be sent from this shift. 1 st is expected to be sent at midnight. The 2 nd should be sent at 6:00am at the latest before your shift ends.

- If a carrier is not answering through email, please call driver/ dispatch to obtain update.

- If a buyer requests an update

- he/ she should be given a response in a timely manner. This should be considered as a priority.

- Inform buyer (s) and team coast if a truck broke down or is Not make it to on time for pick up. Make sure to send an email and text messages to both parties.

- Please keep handy buyers contact information on work schedule.

- Respond to all emails and calls from carriers during this time. You are expected to resolve issues and answer questions.

- If an ETA on a truck changes, revise and resend the updated sheet of the list that changed. Priority List Trucks Due Tonight Dropped Trlrs

- If there are issues with a load, Buyer and Team Coast MUST be emailed with an explanation of what’s going on. A Text MUST be included to inform both parties. Be clear while providing explanation. Make sure to include the following: Location Carrier Po# / product shipper Loading date

- If a dispatcher/ driver does not provide an ETA, please reach out to Team Coast Lead. Ask if she has an additional contact that could help with an ETA.

- Your priority starting your shift is communicating with Andrea Gaona for a summary of what has happened during the afternoon. Go over details on HOT LOADS or any other issue encountered on the previous shift. Both afterhours dispatchers must be on the same page.

- If there is an emergency with a truck that might include a possible claim, stop any contact with the carrier. Reach out to Team Lead so she can give you instructions or manage the issue.

Competency: Basic math skills, communication skills, and attention to detail are critical to the success of this role.

Required education and experience: No education is required, but administrative assistant experience is necessary. Qualified candidates must also have basic computer skills and knowledge of Microsoft applications including Excel and Outlook.

Preferred education and experience: Fluent in written and spoken Spanish and English is preferred, but not required.
