- Receive and screen telephone calls, visitors, and emails and assists by answering questions or providing information utilizing program, office, or department knowledge of operations; and, if applicable, distribute information via electronic or paper communication. Determine when referral to a program faculty/staff member, supervisor, or other office is appropriate. Other duties include accepting registrations into various classes and workshops held within the Northwest Region. This includes logging participants into an Excel spreadsheet, accepting cash, check, and credit card payments in accordance with University cash handling procedures and distributing class information and materials via electronic or paper communication.
- Typing/word processing; creating, formatting, and proofreading materials such as registration forms and participant tracking spreadsheets, press releases, meeting agendas, minutes, action item logs, organization charts, and administrative financial tracking logs. Materials are then organized and maintained into an established record-keeping system via an electronic or paper filing system. Additional duties include monitoring and ordering office supplies, preparing PCard, postage, and cash handling transactions for reconciliation by business manager, UA Vitae data entry, receiving, distributing, or sending out mail or shipments, and maintaining electronic or paper materials in accordance with the UA records retention schedule. Maintain electronic calendars related to meeting room reservations and employee leave requests.
- Maintain office and program equipment by ordering supplies, troubleshooting, and tracking inventory. Contact person for loaning out equipment for out-of-office use and inspects it upon return. Request work orders or maintenance repairs to the office building, vehicles, or multi-purpose copy machine. Maintain electronic calendars related to equipment and vehicle check-outs.
- Assist faculty and staff in the Northwest Region with additional projects such as large print jobs; gathering, organizing, and distributing meeting/class related materials; tabulating counts of walk-in visitors, telephone calls, and email contacts.
- Maintain the employee resource page on the UA Confluence server and update Facebook page with current and relevant information for Yavapai County. Send out workshop announcements, as needed, to events and media list-servs.
Knowledge, Skills, and Abilities:
- Ability to communicate effectively with diverse clientele.
- Familiarity with computers and other office equipment.
- Ability to handle confidential or sensitive information.
- Familiarity with various social media platforms.
- High school diploma or equivalent, or equivalent learning attained through experience required.
- Minimum of 3 years of relevant experience required.
- Experience working with Excel, Word, PowerPoint, Publisher, and Outlook calendar.
- Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy. Must also be able to provide own transportation and be able to travel county and statewide.
- Bi-lingual in English & Spanish.
- Associate's degree or higher in Business Administration.
