Description

Process philanthropic gifts to the University
Create procedures and best practices for use of our constituent management system to promote efficiency and accuracy in recording gifts and pledges.
Produce tax receipts and donor acknowledgement letters.
Maximize gift revenue by documenting matching gifts and marking records for follow up.

Examples of Duties

  • 90%
  • Provide exceptional customer service with both internal and external audiences focusing on creating a donor-centered culture.

  • Record and acknowledge all philanthropic gifts and pledges received by the Foundation through multiple sources to include:

  • Verify funds received through all sources including checks deposited, online credit card transactions, credit card transactions processed through outside sources, and securities received.

  • Process credit card payments that are called in by donors.

  • Review in-kind gift forms for accuracy and documentation of value and report information to Accounting Services.

  • Audit constituent’s biographical information and update as necessary.

  • Record gift amounts according to donor intent into the appropriate fund and include the description and fair market value of any benefits received by the donor.

  • Code each gift with the appropriate appeal, campaign, solicitor, and letter code to ensure that internal performance results are accurate and that donors are stewarded correctly.

  • Comply with Internal Revenue Service regulations as they apply to charitable giving.

  • Record pledges and commitments made by donors for future gifts.

  • Create donor tax receipts for mailing.

  • Create other donor acknowledgement letters as appropriate.

  • Provide constituent support to include:

  • Assist donors with questions related to their gifts or payment methods.

  • Facilitate new recurring gifts by providing donors with the information they need to create monthly EFT or credit card gifts.

  • Help faculty and staff understand IRS requirements for charitable gifts as well as donor intent for gifts received.

  • Understand and utilize the enterprise relationship software system to effective and efficient gift processing, and acknowledgement.

  • Oversee the gift processing for KMOS-TV and ensure gifts are reconciled to their funds.

  • Initiate the matching gift process to include:

  • Create matching gift pledges for all donors who are employed by companies that match.

  • Code the pledge as “Documented” if the donor has started the process required by their employer.

  • Code the pledge as “Undocumented” if the donor needs to be contacted to start the match process.

  • Complete verification required on Documented matching gift pledges.

  • Coordinate payroll deduct gifts from Faculty/Staff to include:

  • Process payroll deduct forms and create database for balancing purposes.

  • Create recurring gifts for all payroll deduct pledges.

  • Communicate new, changed or discontinued payroll deductions to Payroll.

  • Prepare year-end tax receipts per IRS regulations.

  • Document procedures to include:

  • Assist in creating procedures and best practices for the gift processing operation.

  • Write and maintain a procedures manual that can be used for cross-training and to assist other staff in performing gift processing duties.

  • Inform colleagues of discoveries that will feed the annual giving, major giving and planned giving pipelines.

  • Assist with office initiatives as needed.

  • Assist with receptionist responsibilities for the Office of University Advancement and Alumni Foundation as assigned.


Typical Qualifications

Education:

  • High school diploma or equivalent, Bachelor's degree (Specify field(s) of study below)
  • Bachelor’s degree in the following field(s) of study: Business, Accounting or related field preferred
Experience:
  • Four (4) years accounting or bookkeeping related skills required.

  • Experience with Customer Relationship Management software preferred.

Supplemental Information

This position requires constant attention to details skills utilizing a customer relationship managment software, as well as Word documents and Excel spreadsheets. Candidates demonstrating strong organizational skills, high productivity, troubleshooting skills, the ability to work independently, and communicate effectively in their past positions would be ideal.


Special Instructions:

Full-time benefits-eligible position: Benefits include competitive salary; health, dental, vision, life insurance, AD & D, long-term disability; 3 weeks paid vacation per year; 3 weeks of accrued sick leave per year; 13 paid holidays; retirement; and generous education assistance for an employee, spouse and dependent children taking classes at UCM.

Part-time benefits-eligible positions: Benefits include generous education assistance for the employee.

Temporary, adjunct, student employment, or graduate assistant positions: Benefits are not included.
