Job Description: The Project Manager III will work closely with center and project investigators to oversee the continued growth and development of a relatively new center, UF Prevention and Intervention Network (PIN), and implementation of its extramural awards. The Project Manager III is expected to play an integral role in two current extramural awards, including Project Thrive and Gator Connect, while collaborating with center investigators and affiliated faculty/staff to build internal and external systems, such as pre-award supports, campus and online visibility, continuing education accounts and offerings, and other product development as opportunities arise. This position is time-limited.Project and Research Management
  • Tracking timelines for all activities on assigned awards and Center work, work with faculty/staff to assign tasks and review final products, collaborate in and lead project and center meetings necessary to organize award activities and meet timelines.
  • Lead the development of all research manuals and protocols, assess protocol feasibility, and make changes as necessary.
  • Draft, edit, and review IRB and other regulatory study documents, such as consent and recruitment documents, as well as IRB protocol.
  • Educate partners, staff and postdoc on study protocols and monitors compliance.
  • Proactively manage and communicate ongoing changes in project and program scope, identify potential crises, and develop contingency plans
  • Maintain relevant trainings for this position and funded studies, including IRB, university, and federal regulations and policies.
  • Maintain cooperative, collaborative working relationships with project leaders and personnel across sites, including grant partners in schools. Visit school sites as needed.
  • Maintain auditable records of program activities.

Program Evaluation

  • Manage evaluation and reporting activities in coordination with project investigators and study staff, including data collection scheduling, response tracking, and descriptive summary presentation as designated by sponsors.
  • Establish data collection processes and protocols to be utilized throughout PIN
  • Compile data and other information from all partner organizations in the program
  • Contribute to data reporting procedures for reports and other analysis both internally and to external stakeholders (legislature, funders, etc.)
  • Develop program analysis and reporting metrics to monitor overall program efficacy
  • Provide, in collaboration with the data and research teams, data collection, data management, data analysis and reporting, and decision management tool design and development.
  • Create recommendations to identify successful and unsuccessful project elements

Pre-Award Planning

  • Assist PIN investigators in collaboration with the College of Education’s Office of Educational Research in preparing budget and ancillary materials for award proposals, such as budget justifications, statements of work, human subjects compliance, collecting subaward materials, and organizing appendices.
  • Manage pre-award deadlines, review requests for proposal and ensure specific requirements and policies are met and consistent with UF practices, and track activities to facilitate on-time transmittal in collaboration with principal investigators.

Communications

  • Develop and oversee execution of a communication strategy, in connection with College of Education E-Learning, Technology, and Creative services, to highlight PIN center activities and extramural awards to internal and external audiences (e.g., press releases, website updates, editorial opportunities, video promotions, signage, and an impact report).

Other duties as assigned

  • This position will work closely with many aspects of work amongst PIN center faculty/staff that are innovative and dynamic thus resulting in many new opportunities and challenges that may likely change the duties associated with the work.
This position requires Monday through Friday to be coordinated with other lead office staff and approved by supervisor. Some weekends and nights may be required, as will some occasional travel, including driving a vehicle and air transportation.
Must have a valid driver’s license. Expected Salary:

Salary is competitive and commensurate with working title, education, and experience.

Minimum Requirements:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree and four years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Master’s degree in an appropriate area and six or more years of relevant experience; or an equivalent combination of education and experience
  • 2-3 years of project management and/or evaluation experience with extramural awards.
  • Experience delegating to, coordinating and supervising work of research coordinators and assistants on extramural awards.
  • Experience with program development and project management in K-12 schools.
  • Experience creating processes and workflows for managing high work volumes.
  • Proficient and advanced skills in any of the following software/applications: Microsoft Office Suite (especially Excel), Peoplesoft, OneDrive, UFGO, data collection and management software (Qualtrics and/or REDCap), design applications (Canva), and project management software (e.g., Asana) a plus.
  • Experience in development and management of operating budgets.
  • Experience with or knowledge of extramural research funding processes at pre- and post-award.
  • Excellent communication both verbally and in writing.
  • Ability to be calm, creative, and flexible in ambiguous and challenging circumstances.
  • Ability to work independently.
  • Ability to monitor activities of multiple projects simultaneously.
  • Ability to prepare and produce accurate and error-free reports.
  • Ability to make professional and accurate decisions within short time periods.
  • Ability to coordinate staff, delegate, and participate in decision-making.
  • Experience working with/engaging diverse racial/ethnic, socio-economic, educational, and sexual-gender families and youth
  • Demonstrated appreciation and ease of working with a culturally diverse team and organization.
