- Manage shipping and receiving activities for the department, including the safe management of all toxic, hazardous or temperature-sensitive materials entering or leaving Everitt Laboratory.
- Record received items in the my.bioe portal.
- Maintain email group membership for package distribution in the my.bioe portal.
- Contact faculty, staff and students via e-mail for mail/package pick-up when necessary.
- Maintain shipping documents.
- Monitor shipping supplies and notify the Facility Operations Coordinator when reorder is necessary.
- Assist in loading, unloading and distribution of incoming supplies and equipment as required.
- Ensure proper distribution of shipments to the appropriate individuals within the department.
- Work with purchasing personnel within the Engineering Business Services Center to return items when needed and to locate or reorder lost shipments.
- Sort incoming campus mail and U.S. postal service mail for distribution.
- Serve as the departmental representative for UPS Campus Ship, coordinating shipments through UPS for faculty and staff as needed.Administration and Operations
- Conduct daily building walkthrough, including pick up trash, replace out of place furniture and report custodial needs as well as damage and repairs needed. Replace carbon dioxide cylinders as needed.
- Record equipment data specified in the daily rounds documentation. Report anomalies, alarms and supply needs to the Facility Operations Coordinator.
- Document, maintain and update procedures to ensure they remain current.
- Assist with the setup and tear down for departmental events.
- Distribute and track conference room keys for short-term conference room use.
- Serve as backup scheduler for conference rooms in Everitt Laboratory, including monitoring and responding to reservation requests.
- Work with inventory personnel within the Engineering Business Services Center to:o Affix inventory numbers to equipmento Conduct physical inventoryo Report equipment that cannot be locatedo Designate items for surplusAssume additional appropriate related shipping/receiving and facility duties to further the mission of the departmentMinimum Qualifications:
- High school diploma or equivalentKnowledge, Skills and Abilities:
- Excellent interpersonal skills and strong verbal and written communications skills with the ability to interact with a diverse group of people.
- Strong attention to detail skills and ability to prepare and enter information with a high level of accuracy.
- Ability to complete safety training and to use Personal Protective Equipment (PPE) when needed.
- Ability to travel to Everitt Laboratory on short notice to assist first responders and/or tradespeople to handle urgent or emergency situations.
- Ability to organize and clearly document procedures and work-related materials.
- Ability to use sound reasoning and take initiative when performing job duties.Physical Demands/Working Conditions:
- This position requires working the hours of 8:00am to 4:30pm with an hour lunch, and occasionally may require an adjusted work schedule to include evening or weekend hours.
- Employee is responsible for securing personal transportation to perform functions of this position.
- Must be able to move and traverse throughout the Everitt Laboratory facility, ascend/descend stairs and ladders, operate mechanical and electrical equipment, verbally communicate and converse with laboratory occupants, visually perceive and identify problems with equipment and move items up to 50 pounds.
- Work in close proximity to noisy machinery, laboratory chemicals, liquid nitrogen and CO2.
- Occasional response to emergency situations including communicating with first responders.
- The position involves a mix of remaining in a stationary position and in motion. The work environment includes operating at a desk, in tight spaces, as well as stooping, crawling and climbing ladders. Incumbent may visit spaces where hazardous chemicals/gases are present. Additionally, incumbent may visit spaces with a mixture of conditioned and non-conditioned spaces and perform outside work.Personal Relationships: Will interact with researchers and a diverse group of people on a regular basis.Difficulty: The individual in this position is required to manage time and be capable of responding to, referring, and assisting faculty, staff, students, and guests of the department in an efficient and professional manner.APPOINTMENT INFORMATIONThis is a full-time Civil Service Distribution Clerk position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $40,000-$45,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position will be expected to work at the University of Illinois Urbana-Champaign campus on a full-time basis per the University’s Workplace Flexibility policy.
