McKinley Health Center aims to provide high-quality ambulatory healthcare and health education to students and medical expertise to University leadership. Our staff works on campus with an academically talented and ethnically diverse student population, including international students totaling 22.2 percent of the total student population, 18.8 percent for Asian American students, 11 percent for Latinx/e students, 5.0 percent for African American students, and 3.2 percent for multiracial students, with a total enrollment of over 56,000 students.

Job SummaryActs as a representative of the Student Insurance Office, and liaison between students and the plan. Participates in campus events where Student Insurance presence is requested. Communicates information about Student Insurance programs and services as needed. Performs basic customer services duties including but not limited to: phone calls, emails and in-person consultations. Escalates complex issues to the appropriate department personnel.

Duties & Responsibilities

  • Responsible for customer interaction that will require the ability to work independently with students and staff. In addition, customer service duties include communication by phone, email and walk-in. Also includes providing insured clients with accurate, detailed information related to a variety of insurance issues to ensure their understanding about the plan's policy and benefits including explanations about the various components of each benefit; the importance of adhering to timely filing schedules; payment allocation; the appeal process; the enrollment period; and other issues.
  • Perform a variety of support services to meet daily operational needs of the department. Facilitate processing functions related to each semester's enrollment period activities.
  • Responsible for indexing/processing documentation received via email, U.S. mail, and in person in a timely manner including sorting, labeling appropriate electronic folders. Also includes emailing and scheduling mail pick-up for students. Screen messages and independently handles inquiries/requests for information or determines when messages need to be directed to another office/person for action.
  • Document internal office practices/policies. Maintain confidential records and perform related processing functions during enrollment period such as review insurance waivers by contacting insurance carries for coverage eligibility and benefit information meets waiver requirements.
  • Responsible for traveling and participating in outreaches throughout the year to educate new students during the orientation for each semester with compassion and understanding.
  • Perform other assigned duties as appropriate.

Minimum Qualifications

  • Any one or combination totaling one (1) year (12 months) from the categories below:
    • College coursework in a health-related field, business administration/management, human resource management, or closely related fields as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
    • Work experience in a healthcare environment working with medical claims, denials, rejections, referrals, and prior authorizations.

    • Familiarity with different types of insurance policies and coverage options.
    • Knowledge of regulations, such as HIPAA and FERPA.
    • Understanding customer service best practices and techniques.
    • Awareness of procedures for processing insurance claims.

    • Strong verbal and written communication skills.
    • Ability to analyze insurance-related issues and provide resolution or escalation.
    • High level of accuracy in reviewing documentation.
    • Efficiently managing time to handle multiple tasks and meet deadlines.

    • Ability to understand and empathize with students’ situations and provide compassionate support.
    • Capability to make informed decisions based on data and policy guidelines.
    • Ability to work effectively as part of a team, collaborating with other representatives and departments.
    • Skills in negotiating and mediating between clients and insurance providers to reach satisfactory outcomes.
    • Competence in composing, sending, and organizing emails and text messages efficiently.
    • Accuracy in entering information into spreadsheets or databases.
    • Ability to type 30 words per minute accurately.
    • Proficiency in using word processing, spreadsheet, and email software for document creation, data management, and communication.
    • Proficiency with scheduling software like Microsoft Outlook Calendar.
    • Skills in using instant messaging and collaboration tools such as Microsoft Teams, Zoom, and/or Twilio Flex.
    • Knowledge of using cloud storage and document management systems like PowerDMS and Box.
Appointment InformationThis is a 100% full-time Civil Service 4582 - Medical Insurance Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/7/2025. The wage for this position is $38,555.40.Sponsorship for work authorization is not available for this position.
