What are the responsibilities and job description for the Human Resource Associate (Level 1) - UIC HR Service Center position at University of Illinois Hospital?
Under the general supervision of the Deputy Director and/or Director, the HR Associate will serve as the primary resource for all campus data maintenance requests for all employees, which may include the following: record updates/balance reconciliation for Paid Leave for All Workers changes, PEALEAV reconciliation, and service award calculations. This role will also assist with appointment processing and job record changes in Banner/HR Front End systems for select employment groups. The HR Associate will serve as a resource for State University Retirement System web event maintenance, FOIA/Legal file review requests, and provide operational support to the HR Service Center with completing employment verification and tuition waiver requests.
Duties & Responsibilities:
- Data Maintenance: Act as primary contact for all Banner data maintenance requests. This may include but not limited to the following: Leave Benefit Reconciliation: This may include general routine PEALEAV maintenance for separations and record updates for Paid Leave for All Workers in Banner forms; Notification of Appointment (NOA): Routine review and maintenance of NOAs; this may involve routine Banner maintenance and generating corrected NOAs; Service Awards: Annual review of service/employment history within the university.
- Transactional Processing/Data Management: Assist with appointment processing and job record changes in Banner/HR Front End systems, which will include, but not limited to the following: Processing Graduate Assistants/Grad Hourly transactions; Processing job record changes for Academic Professional and Faculty hourly employment groups; Troubleshoot transaction errors/problems; communicate with college and unit HR administrators to seek resolution prior to applying the transactions; Respond to employee/campus inquiries regarding HR policies and procedures, campus and university guidelines; Process internal/external audit requests.
- State University Retirement System (SURS) Processing: Gathers information and maintains database involving SURS transactions; Review, initiate, and complete SURS transactions with a focus on academic professionals via the SURS web application for certifications, separations, retirements and other HR related events that affect SURS; Reviews SURS error reports and updates records accordingly or provide corrected information to SURS; Provide timely follow-up to inquiries via email/phone to inquiries from SURS and UI Health on questions pertaining to web event processing; Oversees select SURS Web events, such as Retirement/Termination web events for Academic Professionals, Postdoc Research Associates, and Residents as well as Prior Service web events for all employment groups.
- File Review Requests: Work with University Counsel in compliance with File Review, FOIA and Subpoena requests in accordance with state laws.
- Employee Requests: Provides oversight and serves as a resource to the following functions: Employment Verifications: Verifies and oversees phone verification of general employment: title and dates of employment; Verifies employment for Social Security, HUD, IL Dept. of Human Services. Assist external clients such as FBI agents, Chicago Police Department and other agencies. Assist internal clients such as UIC police department request with employment verifications. Provides salary history information to Workers Compensation. Tuition Waivers (Employee and Child): Instructs employees and units in policy, processes and procedures for tuition waivers including reference to self-service (NESSIE) access; Completes Tuition Waivers for employees forwarding by e-mail, fax or paper as required by the university involved; Serves as Liaison with other universities Tuition Waiver Administrator.
- Policy, Procedure and Training Development: Assists in the organization, development and maintenance of reference/training materials for the office, including participating in related meetings as assigned; Engage in policy development and coordination to comply with new requirements; Uses discretion and maintains confidentiality regarding HR files and relevant communication.
- HR Service Center Operational Duties: Assists the Deputy Director and/or Director with other section operations, such as: Retro Pay, University compliance audit requests Record maintenance/review for campus service awards, etc.; Attending Campus and University wide policy/procedural meetings; Perform other related operational duties and participate in special projects as directed.
