Position Summary
This person works closely with and provide support to the Dean of the College of Business Administration. This position serves as office manager for the CBA Dean’s office, which includes overseeing the day-to-day administration and management of the dean’s office and being in contact with leaders of the Omaha business community and advisory boards, students, university offices/administrators, faculty, and donors/alumni. This position serves as CBA’s Human Resources Manager, handling all CBA personnel operations, as well as working closely with assistant and associate deans in the preparation and development of the college’s budgets. This position also serves on the Dean’s Executive Council.
Job Duties
Responsibility Area:
Administrative Assistant to CBA Dean
Duties:
- Manage the dean’s calendar. Assist the dean in the college’s community involvement and outreach efforts by coordinating meetings for top Omaha business leaders, CEOs and alumni to assist dean in fundraising and promoting the college and its programs. Set up weekly and monthly meetings with direct reports and UNF directors.
- Complete annual AACSB accreditation surveys. Assist with analyzing data and compile information for surveys as needed.
- Coordinate the preparation of the Dean’s correspondence and reports for his approval and distribution.
- Coordination of CBA Honors and Awards events and Distinguished Alumni Awards Luncheon. Communicate with the awardees regarding details, make decisions on food and room arrangements, coordinate the write-up, proofing, and printing of awards invitations and program, order awards, coordinate mailings to business community and alumni, making seating arrangements, etc.
- Arrange meetings for the Dean and other councils. Assist with agendas and meeting minutes for Executive Council meetings and retreats, CBA National Advisory Board, council and general faculty/staff meetings and receptions.
- Coordinate and provide support to UNO Maverick Investment program. Review and proof Annual Investment Report. Arrange speakers and activities for summer camps.
- Create and maintain CBA filing systems for college, personnel, alumni and budgetary items.
- Assist with aspects of all other alumni activities, banquets, faculty and student honor receptions.

Serve as CBA Human Resources Manager
Duties:
- Responsible for accurately complete PAF’s for all CBA faculty, staff, and students in a timely manner. Includes forms for part-time instructors every semester, faculty receiving grants, stipends, professorships, summer payments, and promotions; all new hires and separations, graduate assistants and student workers. Requires knowledge of departmental, payroll and university rules and deadlines.
- Adjunct contracts and spreadsheets: Enter each semester’s payroll spreadsheets, contracts and PAFs to OAA submission folder.
- Produce all employment letters of offer. Includes preparing contracts and salary information for Dean’s or Associate Dean’s signatures for all faculty, full and part-time, all staff, graduate assistants, and visiting international scholars.
- Manage payrolls as needed.
- Initiates and enters all new hire paperwork. Includes faculty and staff, as well as student workers and work study students for Dean’s Office, all CBA labs, department suites, and research assistants for faculty. Includes authoring position authorization requests and advertisements, interviewing student workers, and completing all new employee forms, including I-9 compliance and transcripts.
- Prepare and submit job descriptions in the classification system for all fulltime staff.
- Manage CBA faculty recruitment activities. Work with Academic Affairs Human Resources staff related to all faculty letters of offer.
- Assist new faculty with onboarding and international faculty with visa applications as needed.

Duties:
- Work closely with the dean and assistant dean in preparing and providing details for short and long-term budget planning and processes.
- Work with OAA for annual faculty salary spreadsheets and notifications.
- Part-time instruction: Prepare budget reports as needed for Deans and Chairs
- College Work-study funding: Monitor funds. Make sure both the college and students stay within allocated amounts, and take appropriate action when funds are gone.
- University of Nebraska Foundation Funds: Includes paying expenses from appropriate foundation funds and monitoring underutilized funds.

- Assist faculty with UNO Faculty Development Fellowship process and applications, and CBA summer fellowship and high research process and applications.

- Assist students, faculty, and office visitors. Includes answering questions, setting appointments with MBA or undergraduate advisors and Deans.
- Maintain CBA lists, such as college councils, external boards, personnel recommendations calendar, faculty lists.
- Assist with newsletters and mailings to National Advisory Board, business community, students and alumni.
- Assist office assistants with concerns/problems with faculty or students.
- Assist with annual college student and staff awards.

Ability to work in a team setting.
Equivalent combination of education and strong SAP and/or financial experience may be considered.
