The AnBryce Scholars Initiative at the University of Notre Dame seeks a temporary, part time (16 hrs/wk) administrative coordinator for the Spring of 2024. AnBryce is a select, comprehensive, four year academic program for first generation scholar-leaders that assists students in navigating their university experience and scaffolds the development of community minded, global citizens. This position will run from February through June 1, 2025. Duties include:
General administrative support:
- Provide administrative assistance to the Program and Faculty Directors, including managing calendars during cohort selection, setting up Zoom interviews for candidates, and correspondence as needed.
- Handle various office tasks including filing, copying, and data entry to support AnBryce department operations
- Assist in organizing internal communications, including the student newsletter, announcements, and reminders for staff and students.
- Monitor office and lounge supplies, ensuring that necessary materials are ordered in a timely manner.
- Coordinate with cleaning and facilities staff for any maintenance or repair needs.
- Help staff maintain a clean and welcoming student lounge
Event Coordination
- Assist the Program Director with the planning and executing Rally Weekend Events, the Senior Celebration, and the AnBryce Commencement Ceremony.
- Coordinate logistics such as venue reservations, menu selection, and catering, coordinating IT support when necessary, and ordering event supplies
- Update and maintain the rsvp database for each event and respond promptly to any guest correspondence.
- Work with Undergraduate Education staff and HR to process student event coordinator employment paperwork and stipend payments
Minimum Qualifications:
Minimum Qualifications
- High School diploma or GED and minimum of 1-2 years of administrative experience is required
- Excellent organizational and communication skills
- Ability to respond to multiple tasks and questions with frequent interruptions
- Ability to maintain the confidentiality of student and departmental personnel issues
- Excellent knowledge of grammar, punctuation, and spelling
- Experience with Microsoft Word, Publisher, and Excel, Google Suite
Preferred Qualifications:

- Knowledge of web page and graphics software
- Knowledge of University-sponsored software programs such as BuyND, TravelND, and facility requisitions (AIM), and University Event management systems
