POSITION SUMMARY
Under the direction of the Registrar, the Associate Registrar assists in ensuring the smooth operation of Registrar functions, with a particular focus on technical systems and processes. This position is responsible for supporting the Registrar in all tasks and acting as a substitute when necessary. Additionally, the Associate Registrar shares responsibility for organizing and supervising daily operations related to registration, management of student academic records, records system processing, athletic eligibility, scheduling, and managing software / technical components involved in registrar-related functions.
RESPONSIBILITIES
- Function as part of the athletic eligibility certification team with the Assistant Registrar and Registrar, verifying athlete eligibility and ensuring adherence to organization / conference policies.
- Manage all aspects of the standard part-of-term course schedule, including data and reporting requirements.
- Ensure student grades, class lists, change of grade notifications, and incomplete conversions are handled promptly and accurately.
- Supervise end-of-term processing duties to update academic records and ensure successful completion for each part of term.
- Develop and implement policies and procedures for quality student support services and efficient departmental operations.
- Analyze and evaluate graduation applications for degree candidacy in collaboration with the Registrar.
- Organize and maintain official files and documents.
- Maintain accurate records and transcript databases for both current and non-current students.
- Process student documentation using databases.
- Manage the graduation process with the Registrar, including student files, audits, honors lists, spreadsheets, degree postings, diploma orders, President’s signature, Business Office approval, and mailing diplomas and complimentary transcripts.
- Assist in organizing and coordinating commencement events, ceremonies, and related materials.
- Secure all records according to AACRAO regulations.
- Comply with FERPA and Public Information Act for legal release of information.
- Cooperate with the Registrar to oversee advisor training, assignment, and assessment.
- Print official and unofficial transcripts.
- Lead class scheduling, supervising the Assistant Registrar in scheduling processes.
- Submit grades for military students via military portals.
- Manage the Registrar page of the University website.
- Oversee student self-service interface and functionality related to registration and records.
- Manage electronic degree audit functionality and technical maintenance to ensure curriculum and academic policy accuracy for all programs.
- Evaluate and assess incoming transfer credits with the Assistant Registrar.
- Manage all aspects of curriculum related to software, databases, and Registrar publications (including catalog and curriculum programs) in cooperation with the Registrar.
- Oversee maintenance and implementation of registration and student record-related software and database systems.
