Advertised Job Summary
Under general supervision from the Student Services Director, the Administrative Coordinator is an essential member of the South Carolina Honors College (SCHC) support staff who plans, coordinates, and performs administrative and support services while providing exceptional customer service to our students, parents, visitors, and other offices on campus. Manages office operations to ensure the Student Services office and the Honors College run smoothly and efficiently. Performs office tasks and procedures including answering and directing phone calls, preparing outgoing mailings, and assisting with other administrative functions in the student services office. Creates, maintains, and manages secure, confidential, detailed, and accurate academic student records. Assists the Recruitment Manager and Director of Advising with summer first-year student orientation, advising, and registration logistics to ensure each admitted student participates and leaves orientation with a full fall schedule. Manages SCHC reservations for event space. Assists the Student Services Director with student course registration and communications.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree and 1 or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience.

Preferred Qualifications
Preference given to those with experience in student services in a higher education setting, and with knowledge of Banner and Self Service Carolina. Some knowledge of USC policies, procedures, and programs is preferred.

Applicants must have the ability to function in a fast-paced, team-oriented environment. The successful candidate will be well organized, have excellent written and oral communication skills, be able to deal diplomatically with various constituent groups, be able to coordinate diverse administrative functions, and be able to establish and maintain effective working relationships. Applicants should have knowledge of modern office practices, procedures and equipment including proficiency in Microsoft Office Software (Excel, Word and PowerPoint). Strong analytical skills and the ability to interpret information accurately are critical.

Assists the Student Services Director in the following ways to ensure a smooth registration process for students: Maintains Honors seat override spreadsheet and registers approved students into Honors courses. Maintains H-option application spreadsheet and communicates decisions with students, faculty, and advisors. Generates a daily course audit during advising and proofs for errors and needed updates. Responsible for helping the Student Services Director with any needed tasks related to student advisement and enrollment.

Updates internal student database for advisement, thesis, and student status tracking. Manages the Honors academic probation process by generating and sending letters, and notifying advising staff. Prepares and maintains specialized reports from USC databases and Honors College databases as requested.
