Executive Assistant’s primary responsibility is to free up time for CEO by intercepting and handling all incoming administrative requests, monitoring CEO’s email inbox throughout the day, drafting all non-legal and non-complex email correspondence on behalf of CEO in accordance with predetermined rules, and fully supporting CEO’s general administrative and quasi-complex needs. This position is meant to enhance CEO’s effectiveness by providing information management support and by representing CEO to others so that he may put his time to its highest and best use. An effective Executive Assistant will intercept and resolve problems before they cross the CEO's desk. Eventually, he or she should be able to anticipate items that require the CEO's attention and handle them with little to no direction from the CEO. Executive Assistant is a non-exempt position.

Required Qualifications

  • Exceptional writing abilities and attention to Detail. Proofreads documents and emails. Spots and fixes grammar errors, spelling errors, typos, formatting, etc.
  • Does not let important details (dates, times, etc.) slip through the cracks or derail a project.
  • Thick Skin. Understanding the most difficult or challenging situations are brought to the CEO's attention, must be able to deal dispassionately with strong-willed individuals and high-stakes situations, without taking “incoming fire” personally.
  • High Standards. Expects personal performance and team performance to be nothing short of the best.
  • Honesty and Integrity. Is trustworthy. Does not cut corners ethically. Earns trust and maintains confidence when appropriate. Do what is right, not just what is expedient.

Preferred Qualifications

  • A bachelor’s degree or equivalent
  • An ability and willingness to follow policies, systems, and procedures
  • A positive attitude; A sense of humor
  • Excellent writing, interpersonal, and organizational skills
  • Proficiency with the Windows Operating System and Microsoft Office 365, including Microsoft Word, Outlook, Excel, Teams, and OneDrive
  • Experience (preferred, not required) with RingCentral, Clio Manage, Clio Grow, and Dashlane
  • A demonstrated commitment to fighting for social justice and/or tenant rights
  • A high comfort level with technology
  • An interest in growing with the firm.

What You’ll Do

  • Monitor, screen, respond to, distribute, and file incoming email communications
  • Answer and manage incoming calls to the CEO, screening out all calls except those that no one other than CEO can address
  • Manage and maintain CEO’s travel arrangements
  • Arrange and coordinate meetings and events
  • Handle any and all administrative duties to free up time for the CEO, including personal errands
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Find and retrieve documents and reference materials
  • Conduct research and collect and analyze data to prepare reports and documents
  • Liaise with internal staff at all levels
  • Interact with external clients
  • Coordinate project-based work
  • Review operating practices and implement improvements where necessary
  • Handle any other sundry personal requests that would free more time for the CEO
  • Update contacts for the e-newsletter
