The environment requires close proximity to other employees, frequent interruptions, extended periods of time viewing a computer screen, and noise levels from moderate to high. There maybe activity from other employees and students of a distracting nature.
Starting Pay: $38,500

Duties/Responsibilities:
Substitute Management
- Monitors and verifies substitute teachers as requested utilizing Uplift’s Substitute Management System.
- Ensures all substitute teachers sign in and out when reporting and leaving the campus.
- Ensures substitutes are connected to the appropriate instructional leader for materials/instructions.
- Ensures that appropriate parties are informed of teacher absences (attendance reporting, scholar clinic requirements, etc.).
- Purchasing and Enrichment Budgets
- Processes purchase requisitions and verify coding for all campus purchases utilizing Uplift Purchase Order Request form and Uplift’s Purchase Management System.
- Receives product purchased through the Uplift Purchase Management System into the Purchase Management System within one business day of delivery to campus.
- Responsible for making bank deposits and collecting, verifying and securing all monies in accordance with Uplift’s Cash Handling Procedures.
- Trains all campus staff on Uplift’s Cash Handling Procedures.
- Maintains campus Enrichment Account(s) in accordance with procedures set by the Uplift Finance Department.
- Maintains campus credit card in accordance with Uplift’s Credit Card Policy.
- Monitors (not manages) budget account balances for both operational and instructional line items.
- Processes Check Requests and submits to the Uplift Finance Department in accordance with Uplift’s Finance Department procedures.
- Maintains security of campus checks and safe in accordance with Uplift’s Finance Department procedures.
- Submits timesheets for police officers and temporary employees to the Finance Department.
- Provide administrative support to School Directors as agreed upon by Operations Manager/Director and Academic Director(s). Responsibilities include:
- Managing logistics of weekly K12 leadership team meetings
- Coordinating meeting calendars with parents and staff within one business day
- Preparing print materials for meetings and PD sessions
- Coordinating campus mailings
- Coordinating or assisting with special projects (example: teacher appreciation week, etc.)
- Support capacity will vary according to the number of office managers on the campus.
- Manages campus delivery system: receives packages, inventories packages and coordinates delivery to requestor within 1 business day of receiving the delivery.
- Supervises administrative office functions such as: maintain filing systems, postage meter, office supply inventory and building space reservations
- Assists with parent meetings and events held on campus.
- Creates and finalizes flight and hotel itineraries for travelers.
- Coordinates transportation, prepares payments and confirms meals for school sponsored field trips.
- Serves as operational logistics point of contact for campus events
- Reviews and corrects on a weekly basis time entered by non-exempt employees into Uplift’s Time Management System.
- Manages all campus textbook and asset inventory (receives at the campus level, enters into Uplift’s Textbook Management System, distributes to and collects from the instructional staff and annotate into Uplift’s Textbook Management System, and stores during summer months).
- Provides carline support to the Operations Manager/Director as needed.
- Assists Operations Director in updating and creating all campus SOPs and training manuals for the office staff.
- Coordinates/provides coverage for front desk responsibilities in the absence of a receptionist
- Other Duties as Assigned
Qualifications:
Education, Experience, And/or Certification(s)
- Education Requirements: High School Diploma or GED’ AAS Degree preferred.
- Experience Requirements: Minimum four (4) years as an Administrative Assistant to Department Heads/Executives in a similar position.
- Special Skills/Certifications: Ability to read, analyze, and apply common sense understanding and to carry out instructions in written or oral form. Ability to set priorities.
- Communication Skills: Ability to communicate with all levels of personnel, students, and parents.
- Bilingual Skills: Bilingual Skills in Spanish preferred
- Technology: To perform this job successfully, an individual should be proficient in Microsoft Office applications (Excel, PowerPoint, Word and Outlook). Ability to use basic office equipment. The ability to learn and use other software as necessary.
