Role Summary

The URBN Talent Development team is looking for a dedicated Specialist to lead the administration of our collaboration and productivity tools and learning and development platforms. We're looking for someone with a robust background in systems administration and project management, coupled with a genuine enthusiasm for fostering employee growth and development.

 


Role Responsibilities

  • Oversee the day-to-day operation of collaboration and productivity tools: JIRA, SharePoint, shared Outlook and Zoom accounts and learning and development support platforms: UKG ProLearning LMS, LinkedIn Learning, Together Mentoring Platform, and HR Service Delivery
  • Ensure smooth functionality, accessibility, proper license usage, and user-friendliness while monitoring system performance, troubleshooting issues, and working with internal partners and technical support as needed to resolve challenges
  • Serve as a subject matter expert to advise stakeholders and business partners on how to best use our learning and development technologies
  • Collaborate with stakeholders to understand their requirements and translate them into platform functionalities and features
  • Oversee administration including content organization, developing best practices, and team standards
  • Oversee learning administration including assigning training, reporting, and serving as a SME for learning designers
  • Maintain a strategic partnership with HRIS team to best leverage talent products in UKG Pro
  • Serve as the primary point of contact for platform vendors, managing vendor relationships, contracts, and service agreements
  • Collaborate with vendors or internal technology/HRIS teams to resolve technical issues, implement upgrades, and optimize platform performance
  • Support the end-to-end execution of the Performance Management process, coordinating timelines, activities, and stakeholder engagement
  • Communicate system updates, changes, and enhancements to relevant stakeholders
  • Develop and maintain resources and guides for internal team use to aid in workflow consistency, adoption of software, and workload organization and planning
  • Assist with other talent and learning initiatives as applicable
  • Support the effectiveness and efficiency of our systems and processes
  • Monitor system enhancements and changes to, communicate updates to relevant stakeholders, and
  • Stay updated on industry trends and best practices for leveraging technology and recommend innovative solutions to enhance our learning ecosystem
  • Provide technical support and assistance to users, addressing inquiries, troubleshooting issues, and guiding them through the system functions
  • Develop and deliver training sessions and materials to educate users on platform functionalities, navigation, best practices, and troubleshooting techniques
  • Generate regular reports on usage, completion rates, and employee learning and performance outcomes, including leveraging our Business Intelligence Platform in UKG and other technologies as applicable
  • Collaborate with Talent Analytics team to improve our ability to make data informed decisions for improving our systems and processes

  • Adaptability: Willingness to learn about new technologies, tools, and trends in the learning and performance space to enhance system functionalities
  • Project Management: Strong project management skills with the ability to plan, execute, and monitor complex projects, ensuring they are completed on time and within scope
  • Data-driven Decision-Making: Analytical mindset to interpret data, generate insights, and drive data-driven decisions to improve processes
  • Communication: Excellent communication skills to liaise with stakeholders, provide user support, and present insights and recommendations
  • Detail-Oriented: Keen attention to detail for quality assurance and data accuracy
  • Strategic Problem-Solving: Ability to troubleshoot technical issues, diagnose problems, anticipate user needs, and implement effective solutions in a timely manner
  • Customer Focus: Dedication to providing excellent user experiences and addressing user needs promptly and professionally
  • Proactive Time Management: Ability to prioritize tasks and respond promptly to time-sensitive issues, ensuring smooth operations and timely resolution of challenges

 


Role Qualifications

  • At least 3 years’ experience in a relevant field (e.g. Human Resources, Business Administration, Information Technology)
  • Previous experience in LMS administration, Performance Management, and project management roles
  • Familiarity with HR processes and performance management best practices
  • Proficiency in Microsoft Applications and Zoom
  • Certification in LMS Administration or relevant technology is beneficial
  • Demonstrated experience in fostering diversity and inclusion within the workplace, with a track record of supporting inclusive HR/Development practices
