Responsibilities

Provide assistance to Principal Investigators and department staff in the development of

proposals, including but not limited to budgeting, interpretation of sponsor terms and policies,

USA Health and University policies and procedures.

  • Review and prepare grant and contract proposals; consult with appropriate managerial staff on


any exceptions to university policy, including program matching commitments, indirect rates,

etc.

  • Review terms and conditions on proposal solicitations and award documents and relate


information discovered to the Principal Investigator.

  • Analyze and understand complex information from multiple sources including funding


opportunity announcements and submission procedures in order to transmit proposals to

Sponsored Projects that result in a high first pass rate.

  • Keep abreast of laws, regulations, external and internal policies, and procedures governing the


administration of grants and contracts. Ensure that key personnel are compliant with regulatory,

University and other training mandates.

  • Reviews and within signature authority approves or rejects expenditures for specific projects


including purchase requisition, direct pay requests, concur expenses, travel reimbursements,

expense transfers, capital expenditures, subcontract invoices etc. in consideration of sponsor

requirements as well as institutional policies.

  • Monitors Time and Effort for accurate reporting and performance necessary funding corrections


via personal action forms and cost transfer requests.

  • Maintains strict patient confidentiality according to HIPAA regulations and applicable law.
  • Responsible for reviewing and analyzing grant funds to identify projected balances, potential


deficits, potential issues, burn rates, upcoming deadlines, and accurate payroll distribution;

providing sufficient explanations that will meet internal and external audit requirements as

needed.

  • Analyzes and prepares comprehensive and often complex monthly financial reports on all


research funds. Monitors, analyzes, and provides forecasts for grant budgets ensuring

appropriate and timely expenditures and reconciliation of funds. Distribute/discuss with PIs and

senior leadership.

  • Ability to manage complex budgets involving multiple departments, collaborations, external


partners, and cost sharing requirements.

  • Proficient in the use of financial management software to include spreadsheets and databases,


required.

  • Assists Principal Investigators (PI’s) in managing sponsored project accounts.
  • Ability to exercise independent judgment and proven skill in problem solving and decision


making in the most difficult and unique areas; demonstrated ability to anticipate consequences

of decisions, proactively plan to resolve problems, and identify and implement viable solutions.

  • Ability to learn quickly, apply creativity, understand complex processes and procedures, prioritize


workload, set, and meet deadlines, and perform well with a minimum of direct supervision.

  • Demonstrated commitment to excellent customer service and focus on customer support.
  • Ability to organize workload priorities, manage multiple projects simultaneously, be flexible in


responding to stressful situations, cope with unexpected job demands, and deal with frequent

interruptions.

  • Excellent organizational skills.


Qualifications

Bachelor’s degree in accounting, finance, public administration, or another related field from an accredited institution as approved and accepted by the USA Health, and three years of related experience, one in grant administration. Experience can be substituted for the requested degree. Certified Research Administrator Certificate is preferred. Experience in grant/research administration preferably in higher education or hospital setting.
