What are the responsibilities and job description for the Administrative Assistant to Director of Pupil Personnel Services position at Uxbridge Public Schools?
Provides administrative assistant of a confidential, complex, and responsible nature to the Director of Pupil Personnel Services. Sets a tone of service and respectfulness for the office and those served by the district. Manages the office, organizes information which comes through the office, makes decisions as appropriate, and demonstrates initiative in improving practices. Possesses excellent communication, organizational, and problem-solving skills.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Cooperates with all district personnel in gathering information and preparing reports as required.
Maintains an array of data records and databases for the compilation of departmental, state and federal reports as requested, and works on data-driven projects as assigned.
Is responsible for all aspects/management of the Medicaid process/administrative activity claiming.
Is responsible for all aspects of state reporting with regard to Special Education information.
Processing of Special Education documents (IEP's) for mailing, tracking signatures, and filing.
Setting up, processing, and updating transportation for special education students.
Financial records management, including creating and processing requisitions and purchase orders, budget preparation.
Completes correspondence/documentation preparation and out of district contracts.
Maintains and schedules appointments, meetings, and activities.
Proofreads material for correctness of spelling, grammar, content, and format.
Maintains filing system for special education files.
Places and receives telephone calls and records messages.
Maintains office materials and supplies.
Performs special assignments and other related duties as assigned by the Director of Pupil Personnel Services

EDUCATION AND/OR EXPERIENCE: The skills and knowledge required would generally be acquired with an Associates Degree in Secretarial Science and two years of experience in a secretarial position, or a high school diploma and four years of increasingly responsible secretarial experience and office management or any combination of experience and training that would likely provide the required knowledge to perform the essential duties as outlined in this job description.
