Responsibilities
- Greet visitors and clients warmly, providing assistance as needed.
- Manage incoming phone calls using office phone systems, directing calls to appropriate personnel.
- Maintain organized filing systems for easy access to documents and records.
- Utilize Google Suite for scheduling appointments, managing calendars, and coordinating meetings.
- Proofread documents for accuracy and clarity before distribution.
- Assist with administrative tasks such as data entry, correspondence, and report generation.
- Ensure the reception area is tidy and presentable at all times.
- Support team members with various office duties as required.
- Send out referrals.
- Follow up on referrals.
Experience
- Proven experience as a receptionist or in a similar administrative role is preferred.
- Proficiency in Google Suite and other office software applications.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent computer literacy with experience in computerized filing systems.
- Bilingual proficiency is required; fluency in additional languages is a plus.
- Familiarity with calendar management techniques to optimize scheduling efficiency.
- Strong attention to detail, particularly in proofreading documents for accuracy.
- HIPPA compliance.
- Medical terminology preferred.
