What are the responsibilities and job description for the Associate Director, Contracts and Subawards position at Vanderbilt University?
The Associate Director for Contracts and Subawards will:
- Stay abreast of evolving government requirements for IT security and undue foreign influence
- Review and negotiate terms and conditions of contracts and sub-awards to ensure compliance with both internal and external requirements
- Negotiate terms and conditions of contracts and subawards to facilitate advantageous outcomes for both the University and the researcher
- Assist departmental staff involved in contract and grant administration by serving as a subject matter expert and interpreting/providing guidance on University policies and sponsor terms and regulations
- Assist the pre-award team with representations and certifications required for federal contracts; also support this team by reviewing grant terms and conditions upon request
- Regularly review contract and sub-award files and follow up on outstanding items with departmental personnel and faculty to ensure award requirements are met throughout the life cycle of the award
- Independently keep abreast of changes and updates in sponsored projects terms and conditions and University policies as they relate to sponsored awards
- Manage the contract officer and subaward analyst positions, ensuring best practices are implemented and followed using Vanderbilt Electronic Research Administration (VERA) system
- Collaborate with VUIT to ensure all agreements (including contracts, subcontracts and data use agreements) have appropriate IT security controls
- Work with Vanderbilt Export Control to develop appropriate Technology Control Plans
- Coordinate with the OGC to ensure acceptability of certain contract provisions
- Partner with CTTC concerning intellectual property provisions of agreements
Supervisory Relationships
This position has supervisory responsibility over the Contracts and Subawards team. This position reports administratively and functionally to the Senior Assistant Provost for Sponsored Programs Administration and Compliance.
Qualifications
- A Master’s or a Bachelor’s degree from an accredited institution of higher education, plus alternative or equivalent professional training and experience is necessary.
- A Bachelor’s degree in a related field is strongly preferred.
- Juris Doctorate is preferred.
- Familiarity with federal and state regulations governing sponsored projects
- Familiarity with grants and policy guidelines of a variety of federal agencies, especially the NSF and NIH
- Ability to review legal documents and proposals and budgets critically
- Ability to communicate, in a professional manner, with a wide range of stakeholders (e.g., faculty, administration, legal counsel, federal agency employees)
- Proficiency in Microsoft Office products, especially Excel and Access
- Ability to stay abreast of the changing laws and willingness to attend job-related trainings
