Vectra Mechanical is a leading HVAC, Electrical, and Plumbing company dedicated to providing top-notch services to our clients. We’re currently seeking a detail-oriented and proactive Accounts Receivable & Accounts Payable Associate to join our dynamic team.
Position Overview:
The Accounts Receivable & Accounts Payable Associate will be responsible for managing and maintaining the financial transactions related to billing, collections, and payments. This individual will play a critical role in ensuring the accuracy and timeliness of invoicing, payments, and follow-ups on overdue accounts. To excel in this position, the ideal candidate must be extremely comfortable on the phone, have exceptional attention to detail, and maintain consistency in collecting overdue invoices.
Key Responsibilities:
- Accounts Receivable: Generate and send accurate invoices to customers in a timely manner. Follow up on overdue invoices through phone calls and emails, ensuring consistent communication with clients. Monitor accounts receivable aging reports to identify and address delinquent accounts.
- Accounts Payable: Process vendor invoices and ensure timely payments. Verify accuracy of invoices and resolve any discrepancies. Maintain and update vendor records. Prepare and process payments, including credit cards, checks, ACH, and wire transfers. Reconcile accounts payable transactions and maintain accurate records.
- General Duties: Maintain organized financial records and ensure compliance with company policies and accounting standards. Communicate effectively with customers, vendors, and internal team members. Assist with month-end closing tasks and reporting. Continuously improve processes for greater efficiency and accuracy.
Requirements:
- Proven experience in accounts receivable and accounts payable or a similar role.
- Strong proficiency with accounting software (e.g., QuickBooks) and Microsoft Office Suite, especially Excel.
- Exceptional communication skills and confidence speaking on the phone with clients.
- High attention to detail and ability to spot errors or discrepancies.
- Strong organizational and time management skills to handle multiple tasks and deadlines.
- Consistency and persistence in following up on overdue accounts.
- Ability to maintain a professional demeanor, even in challenging situations.
Preferred Qualifications:
- Experience in the HVAC, electrical, or plumbing industries is a plus.
- Knowledge of general accounting principles and practices.
- Associates degree in accounting, finance, or a related field is preferred but not required.
