SUMMARY
The Community Coordinator is integral to the member experience and operational excellence of the Venture X Castle Hills location
The Community Coordinator provides the first point of contact for all customers and supports the team with administrative duties.
The Community Coordinator will be responsible for performing tasks and activities that will ultimately drive loyalty, profitability and long-term client retention

This individual will create an environment of ownership and accountability for delivering services to our clients with a focus on exceptional customer service.
The Community Coordinator will support the Community Manager to drive customer growth and retention
In this role, you will be measured on your ability to maintain operational and customer service excellence in line with weekly and monthly occupancy and customer retention targets
GOALS AND OBJECTIVES
Provide first point of contact for members and guests, by covering the front desk, greeting and checking in members and guest.
Create and foster a professional and collaborative environment amongst our members through personal interaction and events.
Manage the operational systems (customer, payment, key access, internet etc.) to provision services to members (mailbox, access keys, internet etc), coordinate customer onboarding and off-boarding, invoicing and payments
Ensure the location is fully operational, processes are running smoothly, and the location is kept clean at all times.
DUTIES AND RESPONSIBILITIES
Operations
Ensure a level of uncompromising cleanliness, including cleaning and pantry responsibilities are executed daily to the highest standard
Ensure members related problems and maintenance projects are being resolved in a timely manner to ensure the highest level of member experience
Conduct quality control walkthroughs to address immediate issues, pre-empt potential future issues and identify areas for improvement when required
Manage food and beverage offerings to ensure the quality and presentation are aligned with Venture X’s brand
Oversee the daily ordering and receipt of product from vendors
Organize the move-in and move-out schedules to onboard and off-board customers
Support the Community Manager in making strategic decisions regarding the operational and financial performance and process optimization of the location
Effectively use company tools, technologies ( Deskworks, Essensys Operate, POS, Isofy, Canva, Hubspot etc.), policies and guidelines to deliver optimum results
Ensure tours are timely and consistent to achieve and maintain 100% building occupancy
Recommend best practices to your Community Manager for the benefit of the broader company related to member experience, sales, hospitality, operations, events and training
Oversees the onboarding of new clients and establishes go-forward service expectations
Partner with the Community Manager to design and implement rules, guidelines and best practices for the community to optimize member experience
Explain Venture X policies and procedures to members, including but not limited to membership agreement and billing procedures
Sales
Handle incoming sales calls, assist with leads, schedule tours to reach sales goals
Conduct tours for prospective customer toward driving a sale
Support the research of prospective members in the tour pipeline and support follow-up and closing requirements when required
Coordinate the processing of membership agreements and activities towards completing the sale
Participate in social and digital marketing to drive brand awareness and sales
Hospitality
Coordinate regular members events to foster the community and build relationships and network
Models company culture, values and brand promise to foster and strengthen client relationships
Develop relationships with members and proactively gather information on their needs to identify both Venture X and member services that could help them achieve their goals
Identify and execute opportunities to connect members with each other
Ensure a gracious arrival experience for all members, prospective members and guests of members while maintaining the necessary level of building security
EXPERIENCE AND REQUIREMENTS
Prior experience as office manager or administration in sales or hospitality business
Financial literacy (basic accounting / book keeping), process and business operations experience required
Good computer (word, excel, power point) and online app skills
Excellent decision making and analytical skills to effectively tackle issues or challenges that may occur on a daily basis
Excellent verbal and written communication skills
Strong team work, accountability and “can do” attitude
Exceptional interpersonal, organizational, and multitasking skills
Excellent time management skills to meet deadlines and display efficiency always with a smile.
