Job Summary: We are seeking a friendly and organized medical office professional to join our team, supporting our front desk operations and ensuring a smooth, patient-centered experience. This role involves greeting patients, managing appointments, answering phones, and maintaining accurate records. - Answers phones and schedules appointments via EMR.
- Creates messages for patients via EMR and forwards to appropriate provider/staff member.
- Check-in/ Check-out via EMR.
- Data entry as needed via EMR.
- Calls and confirms appointments 24-36 hours prior to appointment.
- Collection of co-pays or OV payments. Must document in ECW collection of such payments. Provides daily payment log of all collected funds.
- Verifies insurance eligibility for all patients prior to their visit.

- Records Requests
- Mails New Patient packets to new patients for completion prior to their appointments,
- Performs accurate, legal, and ethical documentation at all times.
- Assists Medical Assistants and Referral coordinator and serves as back up whenever needed.
- Inputs insurance Patient membership numbers in excel spreadsheet monthly.
- Assists with Monthly Excel Membership Roster Log ensuring that all patients assigned to our clinic are contacted and have an appointment.
- Responsible for distributing documents from the EMR (ECW) fax in-box promptly.
- Informs all patients to bring their medications to every visit.
- Assists with all HEDIS measures as directed by Office Manager.
- Generates a telephone encounter for every patient needing assistance. Collects all pertinent information needed for fellow teammates to address the telephone encounter.
- Promptly places phones on/off answering service.
- Addresses all EMR tasks daily.
- Call no-show patients to reschedule their appointments.
- Other duties as requested by management.
