Administrative Assistant – Sales Department/Full-time

 

The Village at Proprietors Green (VPG) is a well-established 149-unit Senior Living Community offering a continuum of Independent, Assisted and Memory Care apartments in Marshfield, MA with a strong reputation of caring and empathy. We are part of Welch Senior Living, a family-owned provider of senior services for over 75 years.  

We are seeking an organized and detail-oriented Administrative Assistant to support our Sales and Marketing team at Village at Proprietors Green in Marshfield. This role will involve interacting with prospective residents, maintaining up-to-date records, conducting tours, and supporting the team’s efforts to ensure that our community remains a top choice for future Residents. Strong communication with various departments, including Wellness and Maintenance, will be essential to ensuring seamless operations.

The Sales Administrative Assistant reports to the Director of Sales and is responsible for supporting the overall successful operation of the Sales department. This position serves as an integral part of the Sales team which maintains and improves upon occupancy of our three neighborhoods (Independent, Assisted and Memory Care) while setting an example of enthusiasm, productivity and empathy.

This is a FT/40 hour per week position working Tuesday through Saturday with a flexibility in work hours based on departmental needs.

Preferred qualifications include a minimum of 1 to 2 years of experience in a well-established setting.

Responsibilities:

  • Respond to incoming inquiries regarding the community and conduct tours for prospective residents in the absence of the Sales Director.
  • Handle correspondence related to sales and marketing efforts, ensuring timely and professional communication.
  • Maintain accurate and up-to-date files on prospective, current, and past residents using the "Eldermark" software system.
  • Track and update apartment rentals, prospective resident leads, and respite care activity.
  • Inspect vacant and unfurnished units to ensure they are in move-in ready condition.
  • Order and maintain sales and marketing department supplies, including brochures, promotional materials, and other resources.
  • Communicate effectively with various departments, including Wellness and Maintenance, to coordinate resident needs and ensure a high level of service.
  • Assist with the planning, coordination, and execution of community events, ensuring they align with sales and marketing strategies and goals.

Skills & Qualifications:

  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Friendly and approachable demeanor with a passion for working with people.
  • Strong interpersonal skills to interact effectively with internal teams across various departments.
  • Previous experience in an administrative role, preferably within Sales or Marketing, is a plus.
  • Proficiency with “Eldermark” software or similar CRM systems is a plus.
