Duties & Responsibilities |
Summary VCU’s Facilities Management is seeking to hire an Operations Specialist in the Operations Center. The Operations Specialist actively participates as a member of the Operations Center monitoring group during 24/7 shifts through continuous monitoring and response of various University Facilities Operation automation systems. - Service readiness of Computerized Maintenance Management System (CMMS), fire alarm, and building automation systems to allow proper command and control of the University’s assets
- Coordinate operations and events ensuring prompt notification and detailed documentation
- Provide exemplary customer service to all faculty, staff, students, vendors, and contractors supporting the University’s mission
- Identify and document system deficiencies, prioritize and issue response to tasks
Responsibilities include, but are not limited to: Work Management (Building Automation, Fire Alarm, Elevator Entrapments, Phone, and CMMS systems) - Utilize phone systems to field service inquiries from internal and external customers
- Utilize data entry and computer monitoring system skills to accurately monitor and document Building Automation Systems (BAS) and Fire Alarm Systems (FAS) documenting readings, alarms, troubles, and irregularities notifying appropriate personnel and or vendors as necessary
- Enter time cards following established time card procedures and policies
Customer Service/Teamwork - Communicate respectfully to internal and external customers treating all work or service requestors as a customer
- Maintain the Out of Service and Other Open Events logs by daily providing updates through communication with the facility or asset owner/contact to maintain a list containing only active issues
- Work as a member of the team striving for collaboration and support of each co-worker by taking ownership of identified problems and helping in a supportive manner to co-workers when needed
- Follow departmental procedures for leave requests taking into consideration the impact on the team, particularly in regards to call outs or unscheduled leave
- Interact with others to collectively resolve problems, accomplish mutual goals, and foster an atmosphere of trust
Essential Duties/Special Assignments - Report for all inclement weather, emergency, and special events as required
- Report for all rotating scheduled on-call duty as assigned
- Complete all University and Departmental required training within the specified time frames given

Qualifications |
Minimum Hiring Standards
- Attention to detail with the ability to multi-task, analyze, and organize work processes in a fast paced, high-stress environment
- Advanced personal computer skills required
- Ability to memorize data of a repetitive nature required
- Ability to communicate effectively orally and in writing to University faculty, staff, students, vendors, contractors, and government agencies
- High School Diploma, GED, or equivalent
- Valid Driver's license required
- Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Hiring Standards
- Experience working in a higher education and or research environment preferred
- Minimum of one (1) year experience in a Facilities Management call or operations center preferred
- Minimum of one (1) year experience with a CMMS preferred
- Minimum of one (1) year experience with HVAC systems (monitoring, installation, or repairs) preferred
Required Licensure/Certification
- Valid Driver's license required
