What are the responsibilities and job description for the Executive Administrative Assistant - Homecare Clinical Operations position at Visiting Nurse Home & Hospice?
The Clinical Operations Administrative Assistant will perform routine clerical and administrative tasks on a daily basis to assist the Chief Clinical Operations Officer and the Clinical Management teams to streamline and increase efficiencies. The Clinical Operations Administrative Assistant reports directly to and will work under the guidance of the Chief Clinical Operations Officer to assist with clinical operations tasks.
EDUCATIONS & EXPERIENCE:
1. High school diploma or GED required, Associates degree in business related field preferred.
2. At least 2-3 years of experience in a clerical position.
3. Healthcare experience a plus.
JOB DUTIES:
1. Utilizes HCHB reports to audit and resolve issues.
2. Answers Clinical Manager hunt group telephone and assists with the triaging of calls. Escalates calls as appropriate.
3. Completes non-clinical workflow in HCHB as assigned.
4. Assists in processing patient appeals via Kepro.
5. Data and analytics: creates productivity and overtime reports bi-weekly for Clinical Managers. Create packets with first/last visit times, agent visit time report for supervisory staff to disseminate as appropriate. Creates Non-Visit Activity reports for supervisor review.
6. Face-to-Face (F2F): assists with problem F2F patients for follow-up. Creates list to be utilized by a volunteer to make calls or Clinical Operations Admin. Asst. will make the calls in absence of a volunteer.
7. Supports and maintains program developed to support the Nurse Practitioner program in relation to the growth and maintenance of the Agency Hospice program.
8. Monthly meetings: responsible for coordinating and scheduling meetings with Clinical Managers and field staff. Prepares agenda for meetings with guidance from Chief Clinical Operations Officer.
9. Reviews and tracks Vacation/Sick time to ensure all PTO is being entered into ADP accordingly. Will review entries prior to Senior Leadership approval to ensure proper use of time is being observed and followed by staff.
10. Creates monthly performance evaluation list in order to ensure timely completion and submission of staff performance evaluations.
11. Reviews CHEX reports to ensure staff compliance and reports status to appropriate manager.
12. Maintains Staffing Master Schedule.
13. Maintains and updates Administrator On-Call calendar & Clinical Manager weekend/holiday rotation calendar.
14. Reviews visit time exceptions and performs related workflow and tasking.
15. Reviews Scheduling Visit Summary report in order to resolve any issues that will affect and/or prevent billing.
16. Assists with confirmation of Hospice Primary Physician and Diagnosis Code in HCHB.
17. Will act as primary back-up for OASIS submission.
18. Responds to inquiries from employees and others and refers, when necessary, to the appropriate person or department.
19. Composes and types correspondence, reports and other material as needed per Chief Clinical Operations Officer.
20. Creates and processes Hospice travel contract packets as needed.
21. Other duties as warranted.
QUALIFICATIONS
· Knowledge of medical terms and ability to spell, punctuate and use correct grammar.
· Strong interpersonal skills, strong organizational and communicational skills.
· Ability to follow oral or written instructions, type accurately, and operate standard office equipment (i.e., computer, photocopier, fax etc.)
· Experienced in problem solving and customer service.
· Ability to maintain confidentiality at all times.
JOB SPECIFICATIONS:
1. Full-time, 40 hours per week. Benefit eligible.
2. Middletown office primarily but some travel to NK office may be warranted at times.
3. Hourly, Non-Exempt.
