Position Overview:
We are seeking a detail-oriented and compassionate Pharmacy Intake Specialist to join our dynamic team. The primary responsibility of this role is to handle the initial contact and processing of patients seeking pharmacy services. This includes gathering vital patient information, verifying insurance details, ensuring data accuracy, obtaining necessary approvals, and resolving issues related to insurance and financial assistance. The Intake Specialist will serve as a key point of contact for patients and insurance providers, ensuring smooth communication and effective issue resolution.
Key Responsibilities:
- Patient Information Gathering:
Collect accurate and complete patient information to process pharmacy orders, including demographic data, medical history, and treatment requirements.
- Insurance Verification & Benefits Analysis:
Verify patient insurance coverage, including eligibility, benefits, and formulary status for infusion medications. Ensure proper documentation of insurance details in the pharmacy system.
- Prior Authorization Management:
Submit and follow up on prior authorization requests for medications or services requiring insurance approval. Ensure timely approval and prevent delays in treatment.
- Financial Assistance Coordination:
Assist patients with identifying and applying for financial assistance programs, including co-pay assistance, patient assistance programs (PAPs), and other resources to help manage out-of-pocket costs.
- Data Entry & Record Keeping:
Enter and maintain accurate patient and insurance data in the pharmacy system, ensuring compliance with privacy and security regulations (HIPAA). Maintain organized patient records for easy retrieval and reference.
- Issue Resolution & Follow-Up:
Address and resolve issues related to insurance coverage, prior authorization denials, billing discrepancies, and other concerns that may arise during the intake process. Proactively follow up with insurance providers, patients, and healthcare providers to resolve issues in a timely manner.
- Communication & Collaboration:
Maintain clear and compassionate communication with patients, caregivers, healthcare providers, and insurance representatives. Act as a liaison between the pharmacy, insurance companies, and patients to ensure a seamless process.
- Compliance & Quality Assurance:
Adhere to all company policies, industry standards, and regulatory guidelines related to patient privacy, data entry, and pharmacy operations. Ensure compliance with federal and state regulations governing pharmacy practices.
- Team Support:
Provide support to the pharmacy team, including other specialists, pharmacists, and management, to ensure optimal patient care and efficient workflow.
Qualifications:
- Education:
High school diploma or equivalent required. A degree in a healthcare-related field (e.g., pharmacy technician, healthcare administration) is preferred.
- Experience:
At least 1-2 years of experience in a pharmacy or healthcare setting, with a focus on patient intake, insurance verification, and prior authorization. Experience with infusion pharmacy services is a plus.
- Skills:
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to handle confidential patient information in a compliant manner
- Familiarity with insurance verification and prior authorization processes
- Knowledge of pharmacy software systems and data entry best practices
- Proficient in Microsoft Office Suite and other relevant software tools
- Certifications:
Pharmacy Technician Certification (CPhT) is a plus, though not required.
Work Environment:
- Physical Requirements:
This position involves working in an office setting with occasional clerical duties requiring standing or walking.
- Hours:
Full-time, Monday through Friday, with occasional overtime based on patient needs and workload.
