Job Description

The Veterinary Programs Coordinator oversees the logistical, operational, and promotional aspects of Self-Generated (SG) and Clinical Proficiency Examinations (CPE) within the Animal Health Department. This role ensures the successful execution of events and programs by managing logistics, coordinating resources, maintaining compliance, and fostering collaboration among internal teams and external stakeholders.

Essential Job Duties And Responsibilities

Specialty Groups (SG) Event Coordination

  • Collaborate with committees to develop program content, coordinate speaker interactions, and manage timelines.
  • Communicate with speakers regarding commitments, travel arrangements, and event needs (A/V, handouts, bios, etc.).
  • Ensure all logistical event details, including staffing, supplies, and materials, are accurately documented in ME for SG events.
  • Coordinate with IT to update course information in Aptify and share approved details with the marketing team.
  • Book instructors and manage room setup, A/V requirements, and F&B/transportation details, ensuring alignment with agendas and event orders.
  • Partner with the Senior Director of Clinical Operations and Registration Manager to develop registration materials and ensure proper promotion.
  • Collaborate with the Marketing Director to create promotional content such as event brochures and on-site programs.

Clinical Proficiency Examination (CPE) Coordination

  • Develop and maintain the CPE course schedule, ensuring all logistical details are entered into ME.
  • Schedule examiners and room proctors and secure monthly candidate lists.
  • Assist with CPE grading, printing, and other administrative tasks.
  • Collaborate with CSN students for CPE support.

Animal Logistics & Management

  • Oversee procurement of large animals (e.g., HH porcine) for CPE, SG events, and other departmental needs.
  • Maintain compliance with USDA documentation requirements and ensure records are up-to-date.
  • Schedule and coordinate large animal vendors, including transportation (e.g., cow hauler) and inspections (e.g., brand inspector).

Operational & Logistical Support

  • Monitor and adhere to event timelines, promotional schedules, and budgetary constraints.
  • Maintain accurate records and cross-reference all event-related information in ME to ensure seamless operations.
  • Provide post-event data, including attendance, vendor participation, and photographs, for reporting and future promotional efforts.

Education, Experience Skills & Abilities

Education

  • Bachelor’s degree in Event Management, Animal Science, Veterinary Technology, or a related field, or equivalent work experience.

Experience

  • Minimum of 2 years of experience in event coordination, logistics, or program management, preferably in veterinary or animal health settings.
  • Familiarity with scheduling software, event management tools, or operational platforms such as Aptify and ME.
  • Previous experience coordinating live animal or cadaver logistics is highly desirable.

Skills & Abilities

  • Organizational Skills: Exceptional ability to prioritize, manage multiple tasks, and meet tight deadlines.
  • Technical Proficiency: Advanced knowledge of Microsoft Office Suite, event management platforms, and data entry systems.
  • Communication Skills: Excellent written and verbal communication abilities to effectively engage with team members, stakeholders, and external partners.
  • Collaboration: Strong interpersonal skills to foster teamwork and maintain productive relationships across departments.
  • Problem-Solving: Analytical skills to anticipate challenges, develop solutions, and adapt to changing needs during events.
  • Attention to Detail: Meticulous approach to documentation, scheduling, and compliance with regulatory requirements.
  • Adaptability: Ability to work effectively in dynamic environments, including on-site event settings.
  • Animal Handling Knowledge: Understanding of live and cadaver animal logistics and care is preferred.

  • Ability to occasionally lift and carry up to 50 lbs.

Vision and Hearing

  • Close vision required to see computer monitors, read documents, and operate copy and fax machines.
  • Distance vision is required to drive an automobile if driving is a requirement of the job.

Work Environment

  • Work environment is indoors and climate-controlled.
  • Occasionally exposed to outdoor weather conditions.
  • Moderate noise levels as found in a business office with computer printers, households with TVs and dishwashers, and driving in light traffic.
