We are currently looking for an Accounting and Administrative Assistant to join our team in Chicago Heights, Illinois.
PURPOSE OF POSITION
Reporting directly to the Plant Controller, the Accounting and Administrative Assistant is responsible for timely and accurate completion of regular and ad-hoc accounting procedures. A successful candidate is expected to be comfortable with MS Excel, Word, Outlook and quick to learn new systems and procedures.
TASKS & RESPONSIBILITIES
Safety:
- Adhere to all voestalpine Nortrak safety policies and procedures.
Quality:
- Ensure accounts payable transactions comply with Nortrak policies and resolve purchasing issues with the help of the local and central purchasing team.
- Accurately process sales invoices per terms of the sales orders and sales contracts, while ensuring that all required documentation is completed accurately and retained in line with the standard procedures.
On-Time Delivery:
- Timely invoicing of customers to assist the plant exceed our on-time delivery targets.
- Timely processing of accounts payable and purchasing documents to ensure that we are current with payment terms with suppliers.
- Complete reporting requirements in a timely manner.
Cost:
- Assess the validity and accuracy of expenses / invoices.
- Support Plant Controller with maintaining standard costs in the accounting system.
People:
- Demonstrate a professional demeanour when dealing with all stakeholders both internally and externally.
- Maintain collaborative working relationships with plant team members and other co-workers.
- Excellent written and verbal communication skills.
Environmental:
- Adhere to Nortrak's Environmental Procedures, Practices and Policies.
Accounting Support:

Accounting responsibilities include various daily, weekly, and monthly standard procedures as well as ad-hoc analytical and financial accounting tasks. Some of the examples of the responsibilities include but not limited to:
- Assist with basic month-end closing procedures including expense reports, customer invoicing and other responsibilities as assigned.
- Posting of all outbound shipments, processing customer invoices and follow up with customers to ensure they have received all invoices and supporting documents.
- Processing, investigating and resolving vendor invoices, shipping documents and three-way matching with POs for pricing and deliveries.
- With guidance of the Controller, collection and analyses of key financial data to help drive results.
- Identify trends and recommend actions to Plant Controller based on sound analysis
- Reconcile transactions by comparing and correcting data.
Administrative Support:
- Tracking, organizing and filing mandatory documents as necessary for Corporate AP.
QUALITIFCATIONS:
Education:
- Associates degree required. Bachelors degree in accounting, finance or related field preferred or willingness to obtain.
- Minimum of 2 years of accounting experience in manufacturing industries preferred.
Field of Experience:
- Proven working experience as accounts payable clerk.
- Solid understanding of basic accounting principles.
- Excellent written and verbal communication skills.
- Proficient in using MS Applications especially in MS Excel.
- Experience with ERP systems – ideally SAP.
- Strong analytical and organizational skills with keen attention to detail.
Physical Demands When at Manufacturing Facilities:
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional standing, walking, stooping, kneeling, crouching or climbing.
- Must be able to lift or handle up to 25 pounds at times.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
- Occasional travel may be required which includes walking, standing, sitting and driving from short to long periods of time.
Salary:
- $44,000/year - $60,000/year
