Voit Management is currently in search of an outstanding Compliance Admin Assistant. This position will offer the right candidate a wide variety of duties in a busy work environment while gaining experience in the Homeowners Association industry.
Summary: The responsibility of the Compliance Admin Assistant is to work closely with homeowners on their property improvement and compliance status. The Associate directly reports to the Office Manager.
Hours: Monday- Friday 8:00am-5:00pm, Lunch 1:00pm-2:00pm
Essential Job Duties and Responsibilities:
- Assist staff in responding to routine customer service requests.
- Provide courteous customer service to all walk-in homeowners by attending promptly to their requests and ensuring the appropriate staff members are advised if they are needed to handle a homeowner issue.
- Log all communication in appropriate software.
- Scan and file to digital filing folders.
- Return all initial resident customer service calls and emails within a 24-hour period.
- Process clubhouse rental applications, and receipt of architectural applications.
- Responsible for the distribution of keys/transponders/fobs or other devices used by residents to access the community facilities.
- Maintain a clean work environment and ensure cleanliness in the office.
- Assist with the preparation and conduct of association-sponsored social or special events.
- Reports directly to the Property Manager & Compliance Manager with some contact with HOA board members, committee members, homeowners, supervisory staff, and vendors
- Performs inspections and manages CC&R’s enforcement and architectural compliance matters in accordance with the association's governing documents
- Oversees practices and takes appropriate action to enforce the Association's CC&R's, rules and regulations and design guidelines
- Uses personal vehicle to perform property inspections and/or pick up materials as needed
- Consult with homeowners in person, by mail, by email, or by telephone to provide guidance on general HOA compliance and process architectural applications
- Able to interpret and provide information to all applicable parties on the Homeowner Association CC&Rs, bylaws, and rules and regulations as they pertain to the homeowner's address
- Management reserves the right to add, modify, change or rescind the work of different assignment positions
- Non-Essential Duties to assist with any other jobs and other duties as necessary
- Performs all functions listed above to an acceptable level without constant direct supervision and be self-motivated to seek additional work
Qualification Requirements:
- Maintain reliable transportation
- Ability to work under tight deadlines and fast-paced environment with a high level of accuracy.
- Demonstrate problem-solving abilities.

- Must be proficient with computer programs, including Word, Outlook and Excel.
- Demonstrate organizational skills and ability to independently prioritize daily workload.
- Must work effectively with colleagues and clients.
Education and/or Experience:
- 1-2 years of experience working in an administrative role.
- High School Diploma required.
Language Skills:
- Excellent interpersonal skills.
- Strong verbal and written communication.
- Proficient in English.
