The Trade Compliance / Export Specialist is responsible for ensuring that the company’s trade practices are in compliance with local and international regulations in regards to the movement of products to our customers. They are responsible for the accuracy and integrity of all products we ship. This position will assist in the coordination of the movement of goods and products from one destination to another. This could be from one country to another or within the domestic United States. This job involves ensuring the correct paperwork is in place for shipments and their exporters. They will also monitor freight through the entire process and work to resolve any issues.
Key Responsibilities
- Maintain and keep documents traceablity on import / export process to ensure Veeder-Root is complaint for the Duty Drawback Program.
Obtain inland BOL, record ITN number, and file accordingly by country
Label the export for inland pick by Freight Forwarder appointed truckAnnual updating of Free Trade Agreement informationQualify newly exported parts for the FTA when identified
Update parts with HTS codes / CCL restrictionsUpdate parts both through Windchill and newly exported manufactured / purchased goods.
Pull ITRAC data for previous months imports through ACEReview data and update inform for DHL KPI – clearing good timely.
Download / Review export data from ACEIdentify compliance risks
Prepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.Complete export documentation for Air / LCL and Ocean shipments
Complete BOL / VGM statement for all ocean container shipmentsProcess manual requests for documents needed for compliance such as small packageEnsure compliance with international trade regulations such as export controls, trade restrictions, and sanctions.Clear all compliance holds
Review / update end user certificates for customer ordersMaintain accurate records of all export transactions and related documentation.Maintain Hockman Lewis releasesFiling of blue shippers – making of BOL and send to FinanceTracking of invoiced exports not picked up – reporting to Finance at end of monthMaintain up to date standard work instructions.Assist with special projects, such as process improvement initiatives.Additional Responsibilities
Collaborates and communicates with all US carriers and freight forwarders (preferred and non-preferred), customer service representatives, service providers, and others involved in the shipment of products to ensure accurate and timely delivery of goods.Ensure carriers are aware of plant schedule changes
Schedules large shipments and plans logicistics to ensure timely pick up of goods.Tracks, traces, and updates the status of outgoing shipments.Maintaining the container loading spreadsheet and schedule.
Weekly container status call participationActively identify any issues that may impact shipment status.Works to resolve any issues that may arise with the deliver of goods – cross shipments, missing shipments, document issues, etcPrepare and process shipment documentations such as Bills of Lading.Prepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.Process manual requests for documents needed for compliance such as small package
Verify accuracy of shipment information, such as weight, volume, product description, and pricing.Ensure accurate and timely billing of all shipments.Keep accurate files of good shipped.
