Vox Transaction Services is seeking a real estate transaction manager to coordinate and oversee all administrative aspects of a real estate transaction from start to finish, including coordinating paperwork, scheduling inspections, communicating with all parties involved, ensuring deadlines are met, and overseeing the process to ensure a smooth closing, essentially acting as a liaison between the buyer, seller, real estate agents and other relevant parties involved in the deal.
Key responsibilities of a real estate transaction coordinator:
- Contract management: Preparing and reviewing contracts, addendums, and disclosures, ensuring all necessary information is accurate and complete.
- Paperwork management: Handling all administrative paperwork related to the transaction, including submitting required documents to title companies and lenders.
- Scheduling coordination: Scheduling property inspections, appraisals, final walkthroughs, and other necessary appointments.
- Communication liaison: Acting as the primary point of contact for all parties involved in the transaction, including buyers, sellers, lenders, title companies, and inspectors, keeping them updated on progress.
- Deadline management: Monitoring critical dates and deadlines throughout the transaction, reminding all parties of upcoming requirements.
- Escrow management: Coordinating the escrow process, ensuring all necessary funds are deposited and disbursed on time.
- Compliance oversight: Ensuring adherence to all local real estate regulations and legal requirements.
- Data entry and recordkeeping: Maintaining accurate records of all transaction details in the relevant database system.
- Post-closing tasks: Completing necessary post-closing paperwork and follow-up with clients.
Required skills for a real estate transaction coordinator:
- Excellent organizational skills and attention to detail
- Strong communication (phone, text and email), interpersonal and email writing skills to effectively interact with various parties
- Proficiency in real estate contracts and legal documents
- Knowledge of local real estate regulations and procedures
- Ability to manage multiple transactions simultaneously and meet deadlines
- Computer literacy and proficiency with real estate management software, google suite (email, contacts, spreadsheets, drive)
- Willingness to work as a team and individually
