Job Description Summary

The Assistant Client Manager supports the Client Manager by ensuring smooth and effective communication, tracking deliverables, and managing administrative tasks associated with client projects related to marketing and advertising. They are integral to maintaining our high standards in client service by assisting with scheduling, documentation, communication, and project tracking.

To be successful in this role, you must have superb organizational, communication, and project support skills; and the ability to support our team in all phases of client interactions from pre-sales to post-project support. The Assistant Client Manager will help foster strong relationships with our clients to ensure their satisfaction and retention. You will be judged on accuracy, people skills, and determination to succeed while being caring and professional.

Primary Responsibilities

  • Assist with scheduling and coordinating regular client meetings, as well as preparing presentations and relevant materials for meetings, client pitches, or events.
  • Executing regularly assigned tasks related to the marketing and advertising needs of our clients.
  • Maintain clear, proactive communication between clients, our internal team, and outside vendors to keep projects on schedule and on budget.
  • Track and update client deliverables and project timelines, ensuring clear communication of changes or updates.
  • Aid in organizing and documenting client feedback, ensuring alignment between the client’s goals and the work of our team.
  • Provide day-to-day support with administrative tasks including documentation, file organization, workflow management, and report generation.
  • Work with the Client Account Manager to address and resolve any client issues in a timely and satisfactory manner.
  • Support the Client Account Manager in monitoring industry trends, researching opportunities, and generating ideas to improve products and services.

Skills and Qualifications

  • Strong organizational skills with an eye for detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to actively listen and provide clear information.
  • Ability to manage multiple priorities within our workflow management systems, meet deadlines and work effectively in a fast-paced environment.
  • Proactive problem-solver with the ability to adapt and find creative solutions.
  • Proficient with Google Workspace (Docs, Sheets, Slides) and familiarity with CRM and project management software.
  • Experience in marketing or advertising support, including digital, traditional, and event-based marketing, is beneficial.
  • Demonstrated ability as a team player with the ability to work remotely and independently.
  • Ability to learn, iterate, and improve.

Preferred Skills

  • Familiarity with design software such as Canva or Adobe Creative Suite.
  • Basic copywriting and website editing experience.
  • Business development support experience.
  • Real-world business acumen.
  • The ability to step up, speak up, and take action if needed.
  • Bachelor's degree in a related field or relevant experience preferred

Requirements

  • One to two years of previous experience in an administrative or support role within a marketing, advertising, or sales team environment.
  • Experience creating presentations and supporting the coordination of meetings.
  • Demonstrated proficiency with relevant software applications
  • A proficient understanding of customer service best practices.

Work Conditions

  • Primarily remote, with occasional travel to client or vendor sites in the Central Virginia area.
  • Hours are generally 8:30 AM to 5:30 PM, Monday to Friday, with occasional extended hours based on project deadlines or events.
  • Must be able to commute to client sites in Richmond VA and Central Virginia, as needed.

Compensation

A competitive compensation and benefits package based on work experience and skill level will be offered including healthcare, dental, vision, and retirement:

  • Competitive pay and incentives.
  • $43,000 - $51,000 base salary non-exempt role with opportunities for overtime.
