Position Summary
The Program Coordinator will work alongside team members and oversee and implement tasks and activities associated with delivering the Trade Ally Development Program. The Program Coordinator must be able to identify and rectify potential problems and be responsible for coaching, training, and developing contractors to be successful as an Energy Efficiency Trade Ally.

Program Coordination
- Embrace and operate within our core values.
- Coordinate program logistics, including scheduling training sessions, workshops, and events.
- Manage participant onboarding, ensuring timely communication and a positive start to the program.
- Serve as the primary point of contact for participants, answering questions and addressing concerns.
- Support the development and distribution of program materials, such as schedules, training resources, and evaluations.
- Embrace and operate within the core values.
- Develop a comprehensive understanding of the program's strategic direction regarding energy efficiency and business activities of its customers.
- Coordinate with Community Based Organizations/Trade Associations and agents of the Utility to provide support services to the contractors in the program cohort.
- Coordinate with agencies and allies to ensure proper organization of files, paperwork, and data entry as well as communication to the business contacts.
- Review project applications and documentation to ensure completeness and adherence to program rules and requirements. Communicate and follow up with program updates and disqualifications to participants.
- Maintain, update, and add entries to the program databases accurately. This may require contacting participants and clients.
- Help maintain and update additional program spreadsheets relating to project tracking, lead sharing, and any other needs of this nature that arise.
- Assist participants and clients to ensure they have the correct information and marketing materials to promote the program.
- Help with customer service calls, corresponding with customers and agencies with clear direction from program manager.
- Assist with the development and implementation of a plan to attract new customers/participants to meet program objectives.
- Support the outreach and application process to ensure applicants adhere to program rules and requirements.
- Establish and maintain effective working relationships with employees, other agencies, and the public.
Participant Support
- Track participant progress, attendance, and engagement, maintaining accurate records and documentation.
- Assist participants with accessing resources, including job opportunities, training materials, and mentorship.
- Foster a supportive and inclusive environment to help participants achieve their business goals.
Stakeholder Engagement
- Assist in building relationships with community organizations, educational institutions, and industry partners.
- Coordinate guest speakers, trainers, and mentors, ensuring alignment with program goals.
- Represent the program at community events and outreach activities to recruit participants and build awareness.
Data Management & Reporting
- Collect and organize data related to program activities, participant outcomes, and key performance indicators (KPIs).
- Prepare reports and updates for the Program Manager and other stakeholders.
- Identify areas for improvement based on feedback and program data.
Administrative Support
- Maintain program calendars, tracking deadlines, milestones, and events.
- Ensure that all logistical details are handled, including securing venues, materials, and catering for events or training sessions.
- Ensure program events (graduation/mixers) have an updated run-of-show and follow an approved checklist of items with Program Manager.
Minimum Qualifications:
- Valid driver's license and reliable transportation
- Experience working with small businesses/vendors as contractors.
- Must be able to handle a wide work variety that may not be explicitly stated above listed duties and work in a fast-paced environment.
- Ability to work independently and excellent organizational skills.
- Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Proficient in Microsoft Office, specifically Word, Excel, PowerPoint, and Outlook.
Desired Qualifications:
- Associate degree or equivalent work experience.
- 2 - 4 years of previous Energy Efficiency industry experience.
- Experience identifying and developing relationships, as well as collaborating with community organizations.
- Strong customer service and communication skills.
- Must be able to handle a wide work variety and work in a fast-paced environment as needed.
- Must be detail-oriented, organized, self-starter, and have an ability to prioritize workload.
- Strong data entry skills in entering information in tracking systems/databases.
- Ability to communicate effectively, both verbally and in writing with customers, clients, and team members
- Ability to thrive in a collaborative environment.
- Function well with a very diverse group of people.
- Work under frequent time pressures.
- Utilize good judgement to plan and accomplish goals.
- Troubleshoot issues as needed.
