Job Description
We are seeking a highly organized and detail-oriented individual to join our team as an Office Assistant. Work in our downtown office 3 – 4 days a week. Competitive salary offered based on hours worked. This role will involve a combination of office duties and clerical tasks to ensure the smooth operation of our legal office. The ideal candidate will collaborate with attorneys to provide comprehensive administrative support, including handling expenses, processing invoices, and assisting with document preparation and revision. Additionally, they will be responsible for managing all office equipment, restocking and monitoring office supplies, and maintaining the orderliness of common office spaces.
Key Responsibilities:
- Support attorneys in preparing, drafting, and revising legal documents, correspondence, and filings.
- Assist attorneys with administrative tasks, including expense submissions, invoice processing, and document management.
- Coordinating and assisting with closings, including preparing closing binders and coordinating with clients, attorneys, and other real estate professionals to facilitate the smooth and efficient completion of transactions.
- Manage calendars, scheduling appointments, and coordinating meetings and conference calls.
- Organize and maintain office and client filings, including state and federal filings, both physical and electronic.
- Manage all office equipment, ensuring functionality and coordinating maintenance as needed.
- Monitor and replenish office supplies, including stationery, kitchen supplies, and other consumables.
- Maintain cleanliness and organization of common office areas.
Requirements:
- Minimum typing speed of 65 words per minute with a high level of accuracy.
- Exceptional organizational skills and attention to detail.
- Ability to multitask effectively and prioritize tasks in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to work well in a team.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Previous experience in a legal or administrative role is preferred but not required.
Additional Information:
This position does not allow for telecommuting. The successful candidate will work onsite at our office in downtown Indianapolis and will have the opportunity to contribute to a dynamic and supportive team environment.
