Position Overview
As a Loaner Car Coordinator, you will play a key role in ensuring a seamless and positive experience for our customers by managing all aspects of our loaner vehicle program. You will be responsible for vehicle inventory, customer interactions, fleet maintenance, and administrative tasks while delivering exceptional service.
Key Responsibilities:
Vehicle Inventory Management
- Track and manage the availability of loaner vehicles to meet customer demand
- Monitor mileage and schedule maintenance or retirement of vehicles as needed
- Conduct regular inspections of loaner vehicles and report any damages or issues
Customer Interaction & Service
- Coordinate with service advisors to schedule loaner vehicles for customers
- Explain loaner car policies and procedures in a clear and professional manner
- Handle customer inquiries regarding loaner car availability and usage
- Provide a warm and professional greeting to every customer
- Address customer concerns with integrity and a problem-solving mindset
Administrative & Compliance Duties
- Maintain accurate records of loaner vehicle usage, including customer details and mileage
- Process all necessary paperwork, including contracts and insurance verification
- Generate reports on fleet usage and identify cost-saving opportunities
- Ensure compliance with company policies and insurance requirements
Vehicle Maintenance & Damage Management
- Ensure vehicles are clean, well-maintained, and ready for customer use
- Work with the service department for necessary repairs or scheduled maintenance
- Inspect vehicles upon return and document any damages
- Communicate with customers regarding damage charges when applicable
- Assist in handling insurance claims for loaner vehicle damages
Other Responsibilities
- Keep assigned workspace clean and organized
- Maintain a professional appearance at all times
- Multi-task efficiently in a fast-paced environment
- Perform additional duties as assigned by management
Requirements:
- High school diploma or equivalent
- Previous experience in customer service, cashiering, or rental car coordination preferred
- Excellent communication and interpersonal skills
- Proficiency with computers and office equipment
- Valid driver’s license with a clean, insurable driving record
