Job Title: Project / Program Manager
Reports To: Operations Manager
Job Summary:
The Project / Program Manager at Warrant Technologies is responsible for leading by example and managing complex projects and programs with care - ensuring they are delivered on time, within budget, and in accordance with the specified requirements. This role involves coordinating with various departments, managing resources, solving problems, and maintaining communication with all stakeholders – all in support of Warrant’s Mission, Vision, and Values.
Key Responsibilities:
Project Planning and Execution:
- Develop detailed project plans, defining scope, objectives, timelines, and resources required.
- Oversee project execution, ensuring adherence to timelines, budget, and quality standards.
Resource Management:
- Allocate and manage resources effectively to meet project objectives.
- Identify and mitigate potential resource constraints or conflicts.
Stakeholder Communication:
- Maintain clear and consistent communication with project stakeholders, including clients, team members, and senior management – in support of Warrant’s Values.
- Prepare and present project updates, reports, and findings to relevant stakeholders.
Risk Management:
- Identify project risks and develop mitigation strategies.
- Monitor project progress and adjust plans as needed to manage risks.
Team Leadership and Development:
- Lead and motivate project teams, fostering a collaborative work environment – Service, Teamwork, and Respect are core values at Warrant.
- Provide guidance and support to team members, ensuring professional development and effective team dynamics.
Qualifications:
- Bachelor’s or master’s degree in Business Administration, Project Management, or a related field.
- Professional certification in project management (e.g., PMP, PRINCE2) preferred.
- Proven experience in project or program management, preferably in a technology or related industry.
- Strong organizational, leadership, and communication skills.
- Proficiency in project management software and tools.
Working Conditions:
- Office environment with the possibility of travel for client meetings or project sites.
- Flexibility in work hours may be required to manage projects effectively.
Physical Requirements:
- Primarily involves desk work but may include visits to project sites or other company locations.
Prime Contract PMs
- Required on site with their team(s) three (3) days per week
Subcontract PMs
- Required on site with their team(s) in accordance with their Statement of Work
On site with their team(s) at a minimum of three (3) days per week.
Tool Usage
Task and Schedule Management
Warrant provides 3 options for Task Management: Teams, Asana, Jira. Warrant Prime PMs must use one of these solutions – or a solution required by their customer. Subcontract PMs are strongly encouraged to use one of the provided solutions when Team Warrant oversees tasking or schedule management.
For calendar management, Warrant Technologies uses the Microsoft Office 365 Suite (Teams, Outlook). Warrant PMs are required to keep their Outlook/Teams calendar up-to-date and available to the Management Team as well as Senior Leadership
Paylocity Journal
When providing coaching/counseling/mentoring/performance feedback to one of your Team Members, Warrant Technologies requires you to document that interaction in our HR system: Paylocity. We do this by utilizing their Journal feature, which allows you to relate an entry to an employee (in confidence if you wish) and keep that information accessible during all future feedback opportunities.
Warrant also encourages the use of the Journal for general note taking. In our fast-paced business, information management is key to being innovative and connecting dots others might not. Feel encouraged to take notes on your day, your conversations, and anything else you see as key to developing a competitive edge.
Data Analytics Tool
Warrant PMs are required to monitor and be aware of the financial status of their programs. Warrant Technologies provides Microsoft Excel and PowerBI to support this requirement. Warrant PMs are required to facilitate financial communications with their Stakeholders (Prime/Sub/Customer/Warrant/Etc.) and stay up to date as to the financial health of their program.
Procas
Warrant PMs are required to monitor and approve the timecards of their Team(s). As the tip of the Project’s spear, Warrant PMs will have the best insight as to a resource’s tasking and financial alignment. To do this, Warrant requires PMs to use Procas for all timekeeping of their Team (and our Subs). PMs are responsible for approving the timecards of their team at the end of each pay period before payroll can be processed. Additionally, it is the responsibility of the PM to ensure Team Member timekeeping is IAW all DCAA/DOD/etc. requirements.
Muster/Stand-up
Warrant PMs are expected to support their Team(s) in either daily muster or stand-up. This duty is imperative when teams are interdisciplinary or distributed. Like Warrant’s approach to Task and Schedule Management, our PMs have options for their muster/stand-up implementation. These options include Outlook, Excel, Teams, Asana, Jira, and customer solutions (as required). The expectation is that each PM defines their Muster or Stand-up policy, and that enforcement is equal across the Team(s).

Warrant PMs are responsible for administering and documenting the following reviews for all members of their Teams

These reviews are supported and enabled by standardized forms that can be found (and scheduled) via Paylocity.
Asset Management
Warrant PMs are responsible for the proper stewardship of their program’s Government Furnished Property. This obligation includes, but is not limited to, laptops, base passes, information (physical and digital), vehicles, etc. This responsibility includes not only the obligation of timely pickup but also timely return.
Continuous Improvement
IAW Warrant’s Continuous Improvement model, PMs are obliged to support their Team(s) in process improvement efforts, including but not limited to, Causal Analysis, Process Monitoring and Engineering, Measurement and Analysis, etc. Throughout process improvement initiatives, Warrant PMs are expected to document, report on improvements (and difficulties), and provide improvement suggestions to Warrant Senior Leadership.
Warrant PMs are expected to contribute new and revised processes to the Warrant Process Library. This contribution drives the institutionalization of corporate knowledge and helps ensure that we all benefit from each other’s greatness.
