Our company is seeking a highly organized and friendly individual to join our team as an Office Administrative Assistant. As the first point of contact for our organization, you will play a crucial role in creating a positive and professional impression on our clients, visitors, and employees. Your primary responsibilities will include managing the reception area, greeting guests, answering phone calls, and performing administrative tasks. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to multitask effectively.
Essential Responsibilities and Duties*:
- Greet and welcome visitors, clients, and employees in a professional and friendly manner.
- Answer incoming phone calls and redirect them to the appropriate team members.
- Provide accurate information and address inquiries from clients, visitors, and employees.
- Manage the office area, ensuring it is clean, organized, and presentable at all times.
- Receive and distribute incoming mail and packages.
- Support operations team in creating work orders, scheduling, and coordinating services.
- Assist in maintaining office supplies inventory and place orders when necessary.
- Perform basic administrative tasks such as filing, photocopying, and data entry.
- Collaborate with other administrative staff to ensure smooth office operations.
- Perform special projects and execute other duties as assigned by management.
Qualifications Requirements:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proven work experience as a receptionist or in a similar role.
- Excellent verbal and written communication skills.
- Friendly and professional demeanor, with exceptional customer service skills.
- Strong organizational and multitasking abilities.
