Job Title: Administrative Secretary
Department: Sheriff
Pay Rate: $19.77 - $20.97 per hour
Position Overview:
Waushara County is seeking a highly organized and efficient Administrative Secretary to support the Sheriff’s Department in various administrative tasks. This position offers the opportunity to work in a fast-paced, dynamic environment while ensuring the effective operation of the Sheriff's Department, including Patrol, Communications, and Corrections.
Key Responsibilities:
Provide comprehensive secretarial support for the Sheriff’s Department, including transcription, documentation, mail management, and evidence mailing.
Manage jail bank deposits and bond payments, and provide receptionist coverage (greeting the public, answering phone calls, handling legal documents, and processing payments).
Accept and process open records requests from the general public, law enforcement agencies, attorneys, and other organizations.
Ensure proper record redaction and compliance with Open Record Law, privacy policies, and Marcy's Law.
Process and manage invoicing in Tyler Munis for Open Record Requests.
Assist in scheduling, taking minutes, and distributing agendas for department meetings.
Manage records and submit DA requests through the E-Referral system and I-Crimefighter program.
Perform additional duties such as coordinating department transports, managing alarm registrations, and providing backup support for the Administrative Assistant.
Qualifications:
Education: Associate’s degree preferred, with emphasis on office procedures, accounting, and computer skills.
Experience: Minimum of two to three years’ experience in office secretarial work. Experience in a law enforcement environment is preferred.
Skills: Strong typing and transcription skills, familiarity with phone systems, filing, record-keeping, and law enforcement procedures. Experience with the Spillman Record Management System is a plus.
Ability: Strong organizational skills, ability to meet deadlines, maintain confidentiality, and communicate effectively with law enforcement staff and the public.
Working Conditions:
This position primarily involves office work, including typing and computer use, with limited physical demands.
Interaction with the public may involve situations that cause emotional distress or hostility.
Flexibility in scheduling is required to support the department during high-demand situations or major cases.
