Wayland School Community Programs (WSCP)
Position: Accounts Coordinator
Job Goal
To support all WSCP programs by ensuring accurate and timely financial tracking, data management, and program registration in compliance with established accounting procedures and organizational standards.
Qualifications:
- Associate’s degree required; Bachelor’s degree preferred.
- Proficiency in Microsoft Excel and QuickBooks required or other similar accounting software.
- Demonstrated experience using Google Workspace (Docs, Sheets, Forms, etc.), MUNIS, and other financial and program management software.
- Strong organizational, analytical, and record-keeping skills.
- Exceptional attention to detail and ability to maintain confidentiality.
- Excellent communication and teamwork abilities.
Primary Responsibilities:
Financial Operations
- Collect, deposit, and reconcile all tuition and revenue for WSCP programs.
- Post accurate deposits to the MUNIS system in a timely manner.
- Create and manage family accounts in QuickBooks for all WSCP programs.
- Generate and send annual invoices and quarterly tuition reminders.
- Adjust invoices based on schedule changes and post updates in QuickBooks or any other WSCP software, notifying families of new balances.
Budgeting and Reporting
- Develop and maintain projected annual budgets for all WSCP accounts based on enrollment trends and anticipated monthly revenue.
- As requested, generate and provide detailed revenue and enrollment reports to the WSCP Director.
- Monitor and track revenue by site and program to ensure financial accuracy and transparency.
Registration and Enrollment
- Create and maintain registration portals and data for all WSCP programs annually.
- Monitor, process, and maintain records for registrations, lottery applications, and waitlists.
- Communicate with families regarding enrollment, scholarships,registration, and scheduling changes.
- Support the WSCP Coordinators and Staff regarding enrollment, registration, and scheduling changes.
Database and Records Management
- Establish and maintain an enrollment and tuition database for WSCP.
- Maintain accurate program records, including student schedules, tuition, scholarship enrollment lists, contact lists, and medical condition lists for WSCP programs.
Team and Program Support
- Provide responsive support and guidance to families regarding financial and enrollment processes.
- Collaborate with staff to ensure alignment with WSCP’s mission and practices.
- Assist with other WSCP financial duties and special projects as assigned by the Director.
- Maintain a professional demeanor and strong working relationships with families and staff
- Attend all required staff meetings and training sessions
Communicate the program’s mission and educational philosophy effectively. - Be punctual, dependable, and manage time efficiently.
- Support the implementation of WSCP policies and procedures.
- Schedule:
- 30 hours per week, 46 weeks per year (August through June)
- 22 hours per week, 6 weeks per year (Summer: June through August)
