Summary:
Our company is seeking an Administrative Assistant to assist the accounting department and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, prioritize and meet deadlines is essential in this position. The ideal candidate for this job is resourceful and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
- Job Type: Full-time; Mon-Fri 7:30AM – 4:00PM
- Pay: $45,760.00 - $52,000.00 per year
- Classification: Non-exempt
- Required experience: Preferably 1 year or more in the construction industry
- Required education: High school or equivalent

- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors upon request.
- Prepare prequals and managing small works roster while updating Sharefile for reference.
- Handle and route incoming calls
- Process and handle outgoing and incoming mail
- Maintain listing of business licenses and expiration dates, assist with acquiring as needed.
- Process accurate union payroll quarterly and as needed for backup
- Certified payroll and prevailing wage filing, reporting and related assignments for the service department as backup and for the commercial department as needed.
- Coordinate lunches for administrative staff meetings
- File intents and affidavits for service department as backup, and when directed by management.
- Backup PO approval, MUR entry and approval and Receiving as needed
- Assist with month end closing process
- Set up new office employees with phone training, computer printer settings etc.
- Provide backup assistance of accounts payable entry
- Review credit card charges and send our reminder emails to staff as needed to assist AP.
- Assist with various accounting operations including support and backup roles in Payroll, Accounts Payable and Accounts Receivable, including related reporting
- Various support task such as responding to customer requests and questions, scanning documents, filing paperwork and assisting other departments
- Proofing and checking work of self and others
- Perform other duties as assigned by Management
- Maintain regular and punctual attendance
- Comply with all company policies and procedures
Knowledge, Skills & Abilities:
- Payroll experience
- Accounts Payable experience
- Proficient in Microsoft Office, especially Excel
- Must be organized, disciplined, focused, and proactive
- Excellent written and oral communication skills, with strong organization skills
- Advanced data entry skills
- 10 key experience
- Ability to manage multiple priorities, workflow and deadlines
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm in a fast-paced environment
- Team player, professional with attention to detail
- Knowledge of construction industry is a plus
- Knowledge of Viewpoint Spectrum Construction Software or other large accounting software is a plus
- Certified payroll and prevailing wage filing, reporting experience is a plus
- Bilingual English/Spanish is a plus
