Salary:

The salary range for this position is $65,000 - $80,000 annually.   At ICES, Inc. we are proud that we pay for experience and performance.

We serve individuals in private residences, public schools, respite facilities, community work sites, training centers, supervised living arrangements, and our own state-licensed group homes.

 

High Level Description:

 

The Assistant Director of Vocational services will be responsible for providing oversight and monitoring to the Vocational Program of ICES, Inc., enabling an employee-orientated, high-performance culture.   This will be done through oversight and development of the Vocational operations including but not limited to employee development and performance management of Vocational Managers, Floor Coordinators and Direct Support Professional.   Ensuring adherence to Agency policy and compliance with the statutory requirements of the Department of Developmental Services (DDS) and other outside agencies as needed is extremely important.  This position is responsible for hiring and ensuring adequate staffing including on-call coverage for the Vocational Department. This position entails managing the Vocational Managers and Floor Coordinators. While leading job development initiatives and enhancing vocational opportunities for our program participants. This role involves strategic planning, oversight of job development projects, and collaboration with community partners to secure employment opportunities that are tailored to the needs and skills of our participants.

 

Job Responsibilities:

 

Leadership:

  • Assist in Vocational leadership ensuring team members are set up for success.  This includes but is not limited to developing performance objectives, development plans, and regular performance reviews / check-ins / write-ups as needed. 
  • Review program services align with Individual assignments regularly for alignment to respective skill sets, to avoid employee overwhelm, and to ensure quality care is always provided.
  • Ensure accountability and provide coaching / training opportunities to continuously develop skill sets.
  • Communicate company goals and objectives so team members can develop solutions for problems aligning to overall company direction.
  • Advocate for team members ensuring the team has all needed tools and equipment to do complete their workload and be successful.
  • Facilitate a collaborative work environment where everyone contributes equally, all voices are heard and recognized and help develop solutions / strategies.
  • Ensure proper oversight of the vocational program by properly staffing the department with qualified staff with the skills necessary to meet the individuals need for employment services or action steps identified in their individualized plan.
  • Recruit, hire, and onboard team members as needed.
  • Ensure that the vocational managers are meeting expectations and providing them with resources.
  • Research and identify employers that align with the individual’s skills, interest and abilities
  • Ensure the completion of attendance on DDS for billing purposes. This includes Electronic Visit Verification systems and WebResDay.
  • Ensure and complete accuracy of services with vocational authorizations with DDS. This includes all one-time of Attachment A and B.

 

Program Oversight:

  • Work with DDS and other outside agencies to secure placement of potential Individuals requiring our services. 
  • Consistently ensure the needs of Individuals under our care are met and expectations are exceeded so they can live happy, productive and healthy lives.
  • Ensure compliance with all agency, state and federal laws.
  • Verify employee worked hours are entered and approved in Paycom payroll system by the required deadlines. Audit timecards and allocations are appropriately selected
  • Assist with the preparation and adherence to budgetary guidelines.
  • Ensure proper documentation of all financial transactions including agency and Individuals.
  • Complete all required paperwork in a timely and accurate manner.
  • Participate in the Interdisciplinary Team and assist in the development / implementation of each Individual’s plan.
  • Assist with the development and administration of programs, procedures, and guidelines to help align the workforce with the strategic goals of the company.
  •  Assist with Quality Assurance reviews, ensure that corrective actions are implemented as necessary and ensure the agency responds to DDS for all corrective actions.
  • Complete Therap audits to ensure that all individual documentation is up to date with yearly required documents.
  • Manage Paycom for scheduling, performance reviews, disciplinary actions, personnel action forms, time off approvals, timecard approvals and run reports on Paycom.
  • Participation in the on-call vocational rotation.

 

Collaboration and Communication:

  • Develop and maintain effective relationships with our Individuals parents / care givers / guardians.  Be their advocate and ensure their voices are heard in regard to the needs of their loved one.
  • Establish effective working relationships and clear processes for partner organizations including Community members, Federal and state agencies, outside providers, and families, etc.
  • Partner with department leaders while sharing expertise and insights regarding agency policies, employment opportunities, performance management, disciplinary matters, etc.
  • Establish effective Relationships with DDS team members including but not limited to Resource Managers to ensure appropriate funding.
  • Work with employers to identify and implement necessary accommodations to support the individuals in the workplace.
  • Collaborate with local businesses and community organizations to create job opportunities for participants.

 

Compliance:

  • Ensure program compliance and adequate preparation is completed for licensing or state quality monitoring and audits.  This includes but is not limited to ensuring all regulations are followed, cost estimates for program needs are submitted in advance of audit or licensing, etc.
  • Complete internal program audits as necessary for both agency and outside agency requirements.
  • Ensure all DSP and management are fully knowledgeable with quality assurance indicators provided by the Department of Developmental Services.
  • Complete state training for all updates and new or revised procedures.
  • Keep up to date with customized employment requirements and training.

 

 

Job Development:

  • Assist the individuals and their staff to understand the individual’s strengths, interests, and career goals to create individualized employment plans. 
  • Actively search for job openings, build relationships with employers, and advocate for the inclusion of individuals with intellectual disabilities in the workplace. 
  • Assist with job applications, interviews, and transitions to employment, and provide ongoing support to ensure successful job retention. 
  • Provide or coordinate vocational training and skill development programs to enhance job readiness. 
  • Oversee the coordination and facilitation of job fairs, workshops, and networking events aimed at vocational advancement.

Qualifications


  • Bachelor’s Degree or equivalent work experience.
  • Must have relevant experience managing a department / function, employee development, performance management, employee engagement and relations, policies and procedures, and recruiting / hiring.
