We are seeking a reliable and detail-oriented Billing Support Specialist to manage the timely processing of invoices, answer phones, assist with collections, and resolve customer billing questions and inquiries. The ideal candidate will also provide support for administrative functions, including scheduling appointments, handling general office tasks, and assisting with timekeeping.
Key Responsibilities:
- Invoice Processing: Accurately and efficiently process and issue invoices to clients/customers in a timely manner.
- Customer Support: Answer incoming calls and respond to customer inquiries regarding billing and payment concerns, ensuring prompt resolution.
- Collections Assistance: Assist the collections team by following up on overdue invoices, sending reminders, and ensuring timely payment.
- Billing Inquiries: Resolve customer billing issues by investigating discrepancies, researching data, and communicating with relevant departments to ensure customer satisfaction.
- Administrative Support: Provide general office assistance including managing schedules, appointments, and office-related tasks.
- Timekeeping Assistance: Help maintain and update employee timekeeping records as required for payroll processing.
- Data Entry & Filing: Maintain accurate billing records and customer information in the company's database.
- Other Duties: Perform additional administrative and clerical duties as needed to support the overall office functions.
Skills & Qualifications:
- Experience: Previous experience in billing, accounting, or administrative support preferred.
- Communication Skills: Excellent verbal and written communication skills to effectively interact with customers, colleagues, and vendors.
- Attention to Detail: Strong attention to detail and accuracy in billing and data entry tasks.
- Multitasking: Ability to manage multiple tasks and priorities efficiently in a fast-paced environment.
- Time Management: Ability to prioritize tasks to ensure timely completion of assignments.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Education:
- High School Diploma or equivalent (required).
- Associate's Degree in Business, Accounting, or related field (preferred).
Work Environment:
- Full-time position 8:00 AM-4:30 PM, Monday through Friday
- Occasional overtime may be required during peak billing periods.
