Job Summary
Wesbuilt is currently seeking an experienced EHS Coordinator to support our safety and compliance initiatives. Reporting directly to the EHS Manager, this role will work closely with the insurance and contracts coordinator, project teams, and legal/claims contacts to ensure seamless coordination across safety, documentation, and risk management efforts.
While based in the office, the EHS Coordinator will be expected to visit job sites as needed to conduct inspections, meet with project teams, support incident reviews, and perform other field-related tasks in support of company operations.
Responsibilities
Regulatory Compliance & Violations
- Track and maintain all DOB, DOT, NYPD, and DEP violations
- Coordinate with Jack Jaffa on violation status, affidavits, and Certificates of Correction (COCs)
- Prepare and process regulatory forms including Affidavits of Ultimate Equivalence (AUEs)
- Ensure timely follow-up on hearings, violation penalties, and related documentation
- Circulate DOB service updates and maintain compliance logs
Claims & Incident Support
- Maintain and update internal trackers for all incidents, claims (GL, WC), and first aid reports
- Coordinate documentation gathering for insurance claims and adjuster inspections
- Support communication with insurance brokers, adjusters, and legal teams
- Archive and organize incident evidence (photos, reports, correspondence)
- Track and follow up on outstanding claims and legal documentation requests
Administrative & Safety Program Support
- Scan, label, and organize all safety-related documents on company servers
- Maintain orientation packets, sticker logs, and emergency contact forms
- Track and assist with PPE, uniforms, and safety signage inventory/orders
- Assist with internal safety event planning (e.g. Safety Week, Super Meetings)
- Support safety newsletter content and training documentation coordination
Project Setup & Coordination
- Assist with initial ODIN project setup and coordinate with ODIN team for onboarding
- Ensure project teams are equipped with onboarding tools and know how to manage ODIN
- Help prepare safety binders and ensure required safety documents are posted and updated
- Support JHA tracking and collection from subcontractors (in collaboration with APMs)
Professional Qualifications & Experience
To perform this job successfully, an individual should meet the following minimum requirements and qualifications.
Required Qualifications:
- 1–3 years in construction insurance, risk management, claims administration, or related field
- Familiarity with general liability, workers' compensation, and property damage claims
- Strong administrative and organizational skills, with attention to detail
- Ability to manage and track COIs, subcontractor compliance, and safety documentation
- Ability to coordinate with internal departments (Legal, Project Management, Field Ops)
- Strong communication skills for working with insurance reps, legal counsel, and subcontractors
Preferred Qualifications:
- CRIS (Construction Risk and Insurance Specialist) certification or interest in pursuing
- Experience handling incident reports, insurance claims, and legal documentation
- Understanding of contractual risk transfer and additional insured requirements
- Familiarity with construction safety standards (OSHA, NYC DOB) is a plus
- Experience with platforms like Procore or similar project management/safety tools
- Bachelor’s degree in Risk Management, Insurance, Construction Management, or related field
Technology: Microsoft Office (Excel, Project, Word, PowerPoint, and Outlook), Procore construction management software and ODIN safety & risk management software.
