Job Summary
We are seeking a highly organized and detail-oriented administrative assistant to support the principal and assistant principal of our school. This is an exciting opportunity for someone who enjoys working in a fast-paced environment and providing excellent customer service to students, parents, and staff.
Scope of Responsibilities
The successful candidate will be responsible for performing secretarial, clerical, and general office duties in an efficient manner to maintain an orderly operation of the school. This includes:
- Acting as school receptionist and handling phone calls and visitors.
- Typing and processing correspondence, forms, and reports as necessary.
- Assisting with identification pictures, operating equipment, and other tasks as required.
- Maintaining records, files, keys, and other items as needed.
- Operating office machines, such as copiers and fax machines.
- Assisting in compiling and completing book orders.
- Distributing textbooks as applicable.
- Assisting with fire drills and emergency practice sessions.
- Correcting and typing school handbook, processing it to the printer, and maintaining a list of students receiving the handbook.
- Preparing requisitions for supplies for the office if applicable.
- Verifying semester grades and current grades for all athletes, typing eligibility lists.
- Types and processes contracts for football and other sports as applicable.
- Assisting with athletic responsibilities.
- Tying, printing, and distributing programs.
Work Environment/Work Hours
This position requires working in an office-type setting, climate-controlled environment, adhering to School Board energy policy. The workday consists of 7 1/2 hours per day, including a one-half hour lunch period and two fifteen-minute breaks as approved by the supervisor.
Communication Skills
A clerical employee must be able to communicate in standard English both orally and in writing. Must have the ability to accurately give and receive information via telecommunication systems. Must be able to communicate successfully and pleasantly with the public.
Minimum Qualifications
- High School diploma or equivalency.
- Passing score on a typing test of at least 50 wpm with no more than three errors.
- Excellent verbal and communication skills.
- Establish and maintain accurate files.
- Operate office machines efficiently.
- Perform office duties efficiently and professionally.
- Two years of experience in general office work.
- Passing of shorthand requirements and/or computer test.
Desirable Qualifications
- Experience in general office work or public relations work.
- Good verbal and written communication skills.
- Two years of college credit in general business or business school certificate.
