Event Coordinator
About the Role:
The West Newton Cinema, a historic theater built in 1937, is a beloved community fixture showcasing new releases, classic films, and hosting a wide array of private events. As we continue to grow, we are seeking a personable, organized, and detail-oriented individual to join our team as an Event Coordinator.
Key Responsibilities:
Booking Management:
• Handle incoming private rental requests via phone or online.
• Gather relevant details from potential clients and determine event suitability.
• Coordinate with cinema staff to secure available dates and finalize bookings.
Customer Liaison:
• Serve as the primary point of contact for rental clients.
• Follow up with clients the week of their event to confirm final details.
• Be on-site on the day of the event to welcome the rental party and ensure their needs are met.
Administrative Duties:
• Maintain an organized system to track multiple bookings and inquiries simultaneously.
• Utilize Microsoft Office tools to manage schedules and client information.
Requirements:
• Strong organizational skills with attention to detail and the ability to manage multiple priorities.
• Proficiency in Microsoft Office, particularly Excel and Word.
• Exceptional verbal and written communication skills.
• A friendly, warm, and polished demeanor when interacting with clients.
• Ability to work evenings and weekends as required for scheduled events.
This is a Part-Time hourly hybrid role (15-25 hours/week). All correspondence, scheduling, and administrative tasks can be managed from home. In-person attendance is only required on the day of events.
